Specialist HR Operations I

: Assists the HR Team by performing a variety of secretarial/clerical duties to facilitate the efficient operation of the Human Resources Department and participates in and provides feedback for increased team effectiveness. Responsible for hiring each new associate and ensuring required documentation is complete in each new associate file. Responsibilities Talent Acquisition Team support Support the Talent Acquisition team with data entry of interview notes, complete new hire paperwork, schedule enrollment and orientation for new hires, and other projects as assigned. Processes new hire enrollments Assist with completion of paperwork Make identification badges and ensure everything is compliant with requirements. Create Orientation list and run new hire action reports. Licensure Verification Works with licensure verification company for all upcoming associate licensure expiration dates. Inputs into PeopleSoft (PS) all Licenses/Certifications/Registrations for all new associates for tracking purposes. Monitor and track all transferring associates moving into positions that require a License, Certification, or Registration and verifies that the associate has the proper credential for the position. Upon renewal, inputs into PS updated expiration dates on all associates. If associate authorization is needed to confirm credentials, contacts the associate to sign form and sends to appropriate credentialing board. Cover Human Resources front desk Per schedule, assist Associates and applicants by answering questions. Provide requested assistance with paperwork or pre-employment testing such as typing or data entry tests Make replacement badges. Notify Business Partners and all Human Resources associates of appointment arrivals. Processes information related to associate benefit programs including health, dental, life, LTD, death claims and verification of newborns. Provides employee verifications references. Provides front-line customer support. Answers department hotline and responds to department emails and faxes. Provides back up support to other HR teams in order to ensure efficient operations of the department. Assist in keeping all active personnel files up to date and helps prepare personnel files for survey reviews. Participates in annual Open Enrollment planning and testing. Assists associates with elections. Serves as the back-up point of contact for badging. Performs other duties as assigned. Qualifications Education, Credentials, Licenses: High School Graduate Associate degree in secretarial science Certified professional secretary College courses in HR Management, counseling, social science or related disciplines Specialized Knowledge: Extensive Microsoft office computer knowledge Type 50+ words per minute Strong organizational and interpersonal skills Familiar with HR database software (i.e. PeopleSoft) Familiarity with licensure requirements of the different healthcare professions Kind and Length of Experience: Previous Human Resource experience Two years clerical/secretarial experience
