Patient Services Coordinator II

Overview The US Oncology Network's Texas Oncology clinic in Houston, Texas is seeking a full‑time Patient Services Coordinator to support the Revenue Cycle Department. The role involves greeting patients, managing appointments, handling calls, and maintaining accurate patient records. Responsibilities Greets patients and visitors in a prompt, courteous and professional manner; checks in patients and informs clinical staff of patient arrival. Provides, explains, and files patient paperwork prior to examination; updates demographics and insurance information in the system; collects co‑pays and balances and provides receipt. Answers, screens, and responds to routine questions; routes calls to appropriate personnel; takes thorough messages and communicates them accurately and timely. Checks patients out after examination; schedules returning appointments according to physician or office guidelines; provides patients with appointment details such as time, location, directions, instruction sheets, and other details. Records patient cancellations and missed appointments; reschedules appointments; notifies appropriate staff and updates charts. Provides general administrative support by filing charts and forms; maintains lobby area neat and orderly; keeps legible supply of forms and office supplies. Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records. Other duties as requested or assigned; may type memos and forms. Qualifications Level 1 High school diploma or equivalent required. Some receptionist or office experience preferred. Proficiency with computer systems and Microsoft Outlook, Word, and Excel required. Must successfully complete required e‑learning courses within 90 days of occupying position. Level 2 (including Level 1 requirements) At least eighteen (18) months front‑medical office receptionist experience with insurance forms and scheduling software required. Knowledge of the practice’s personnel, daily routines, and scheduling a plus. Level Sr (including Level 1 and 2 requirements) At least five (5) years front‑medical office receptionist experience with insurance forms and scheduling software required. Physical Demands The job requires the employee to sit regularly and use hands to finger, handle, or feel. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift or move up to 30 pounds. The employee requires vision and hearing corrected to normal ranges.
