Director of Finance & Operations

St. Mary's Episcopal School Edmond, OK United States Purpose: To serve as St. Mary’s Episcopal School’s senior financial officer, combining strategic financial leadership with hands‑on execution of the school’s accounting, treasury, and business office operations. Provides the Head of School, Finance Committee, and Board with sound financial stewardship, accurate reporting, and dependable management of the business office. Reports to: Head of School Leads strategic, operational, and budget planning processes for the entire school Fully owns the budget creation process; partners with the Head of School and Dean of Faculty to set budget priorities; serves as direct liaison to the Finance Committee and Board for approval Works with the Head of School and Director of Admissions on tuition and fee setting strategy Ensures robust internal financial controls and strict financial regulatory compliance Maintains ethical and legal standards in all fiscal and business operations Directs cash management and day-to-day treasury oversight Approves major procurements and sets purchasing policy Oversees tuition billing, payment plans, and collections policy Performs risk management; directs insurance and liability coverage (property, general liability, certificates of insurance, license agreements) Oversees stewardship of endowed and restricted funds, including accounting and reporting Leads capital project financing and fixed asset additions, including term sheets, lender negotiation, and Diocese Council approval materials; partners with the Head of School, Finance and Buildings and Grounds Committees Owns the relationship with the Oklahoma Tax Commission and directs the Parental Choice Tax Credit program (check distribution and FACTS application handled by the Business Office Associate) Directs annual award and scholarship tax structuring (Section 117 / SGO analysis) and tuition assistance program design; serves on the financial aid committee with the Head of School and Director of Admissions to determine eligibility and issue awards Owns records retention and data security controls, protecting confidential personal information across payroll, FACTS, and benefits systems Accounting & Financial Operations Directs and personally performs the school’s day-to-day accounting, including the general ledger, accounts payable, accounts receivable, cash receipts, and account reconciliations Processes and reviews payroll each cycle Prepares monthly financial statements and the board reporting package; presents financials to the Board and Finance Committee Serves as the school’s primary point of contact for external auditors; manages the annual audit from start to finish, prepares workpapers, and reviews audited financials before issuance and Board presentation Provides regular financial reporting to the Diocese of Oklahoma Develops and maintains the chart of accounts and the school’s accounting policies Operations & Programs Supervises the Director of Facilities and BTC in both the financial and operational management of the BTC program Oversees facilities by supervising the Director of Facilities and BTC in financial and operational management; partners with the Finance and Buildings and Grounds Committees on capital project budgeting, estimates, and long‑term planning Oversees grounds management, directly managing the contract groundskeeper in both financial and operational matters; partners with the Finance and Buildings and Grounds Committees on projects and financing Oversees Auxiliary Programs: directly supervises summer programming directors financially and operationally Human Resources Administer employee benefits, retirement plans, and related programs Support employee onboarding, offboarding, and personnel record maintenance Advise school leadership on compensation, benefits, and employment practices Advises the Head of School and Dean of Faculty on hiring practices and policies Maintain compliance with applicable employment laws and regulations Support annual employment agreement and salary planning processes Partners with the Director of Admissions to understand enrollment patterns and projections and their effect on revenue, budgeting, and forecasting Partners with the Director of Development to set budgets for fundraising campaigns and events Serves on the senior Leadership Team Serves on the Crisis Management Team Provides regular financial updates to the Head of School Attends Board meetings when needed, presents financials, and supports the Finance and Buildings and Grounds Committees Promotes a culture of transparency, collaboration, and stewardship across departments Supervision Supervises the Business Office Associate and all accounting and business office staff Recruits, hires, and onboards business office and accounting staff as the department grows Supervises the Director of Facilities and BTC (facilities, BTC, and lunch program) and the contract groundskeeper in finance and operations Holds banking and check‑signing authority as authorized by the Board Qualifications and Skills Bachelor’s degree in Accounting, Finance, or Business Administration required, with 3-5 years of financial management experience. Master’s Degree preferred. CPA license preferred. Strong working knowledge of nonprofit accounting is preferred. Strong organizational and people skills.
