LA Law Firm Operations Coordinator - Facilities & Admin

D3 Search is actively seeking an Operations Coordinator on behalf of a prominent NY-based natl. law practice with a long-standing office located in West Los Angeles, CA (90067). Operations Coordinator Note: Legal industry and/or professional services industry experience is HIGHLY preferred. Employer Work Model: A prominent NY-based law practice is seeking an Operations Coordinator for its well-established Los Angeles office (90067). Reporting to the Operations Manager, this role will provide support to multiple departments in the law firm's long-standing Los Angeles office (90067). Success in this role requires experience working cross functionally and having excellent communication skills. Provide administrative and organizational support to the facilities, reception, and catering/hospitality departments. Maintain accurate files, spreadsheets, expenses, and databases. Generate reports, notices, and announcements as directed. Assist with hospitality, office, and department events. Checks documentation of meetings in scheduling software--especially if multiple offices are attending meeting or if the meeting is otherwise hybrid. Seeking immediate clarification from meeting requestor and whomever entered the information if there are issues or items needing clarification. Receives outside guests into building and Loeb office. Processes office expenses in a timely fashion using Emburse. Orders supplies for office services, and facilities. Works collaboratively with cross-functional teams and departments across Loeb offices. Handles additional projects and tasks as assigned and necessary in support of facilities. Works collaboratively with outside vendors and building personnel. Candidate Qualifications : Proficient in MS Outlook including Word, Excel, and PowerPoint. Proficient in allocating and reconciling expenses using ChromeRiver or Emburse. Knowledge of facilities procedures and practices. Three years’ experience in facilities and operations in a professional services firm preferred. Proficient using Microsoft Excel, Word, and PowerPoint.
