Position Summary

The Project Coordinator serves as the communication and administrative hub between Project Managers, Service Managers, field personnel, customers, vendors, and subcontractors. The ideal candidate has experience in commercial construction or MEP contracting and is comfortable managing project documentation, scheduling, procurement activities, customer communication, and operational support.

Key Responsibilities

Project Administration

• Create and maintain project files, documentation, and records.
• Track contracts, purchase orders, subcontracts, permits, and project correspondence.
• Assist with project startup, compliance, and closeout documentation.
• Maintain accurate records within company software platforms and databases.

Service Operations Support

• Create, track, and manage service work orders.
• Coordinate technician schedules and customer service requests.
• Monitor service tickets to ensure timely billing and completion.
• Follow up with customers regarding service reports and closeout documentation.

Procurement & Material Tracking

• Issue purchase orders and coordinate material procurement.
• Track equipment and material deliveries.
• Maintain procurement logs and inventory records.
• Communicate delivery schedules with project managers and field personnel.

Project Coordination

• Track RFIs, submittals, change orders, and project deadlines.
• Coordinate communication between customers, subcontractors, vendors, and field teams.
• Prepare meeting agendas, minutes, and project reports.
• Monitor project schedules and communicate upcoming milestones.

Billing & Financial Support

• Assist with monthly project billings and service invoicing.
• Track customer purchase orders and contract values.
• Support collections efforts by gathering required backup documentation.
• Assist Project Managers with cost tracking, reporting, and project administration.

Qualifications

• Minimum 2 years of experience in commercial construction, MEP contracting, service operations, project coordination, or a related field.
• Strong organizational, time management, and multitasking skills.
• Excellent communication and customer service abilities.
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
• Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications

• Experience supporting HVAC, electrical, plumbing, or mechanical contractors.
• Familiarity with commercial construction project workflows.
• Ability to read construction drawings and specifications.
• Experience with ComputerEase, Procore, Bluebeam, FieldEdge, or similar service software platforms.
• Experience supporting projects in airports, schools, healthcare facilities, manufacturing plants, government facilities, or other commercial environments.
