Tour Coordinator Support

Provides support and assistance to the Tour Operations group. Provides leadership, guidance and support to all Tour Coordinators, Tour Office Coordinators and Athletic Trainers.

Essential Functions

Responsible for the hiring, onboarding, and training of all new Tour Coordinators.

Responsible for the hiring and onboarding of all new Athletic Trainers. Works closely with the Head Athletic Trainer to coordinate training of all new Athletic Trainers and provide continued support.

Assist with onboarding and support of Tour Office Coordinators.

Provides (in conjunction with Tour Managers) leadership, guidance and administrative oversight of Tour Coordinators and Athletic Trainers. Creates and maintains training documents and operating policies. Conducts regularly scheduled meetings with the Tour Coordinator team and Athletic Trainer team to provide direction, support, feedback and address any issues and concerns.

Acts as liaison between Corporate Office departments and the Tour Coordinators regarding all immigration efforts for touring shows, personnel transportation, group hotel accommodations, public relations, and human resources. Oversight of all efforts to obtain visas for corporate personnel conducting show visits.

Acts as liaison between Corporate Office personnel and Athletic Trainers regarding workers compensation, injury statistics, OSHA Logs.

Provides support for all units' public relations and promotional activities. Coordinates with the PR team any advance events occurring in the rehearsal periods and any large-scale PR events.

Maintains Stagehand contract database and issues contracts for International Disney on Ice Stagehands and Ringling Stagehands.

Works closely with Maritz representative on all group hotel logistics. Secures group hotel contracts for all refurbs, training and rehearsals conducted at Feld Entertainment Studios.

Provides logistical support for Tour Operations, Show Support and Unit personnel leading up to and during rehearsal periods. Specific tasks may include but are not limited to locating/arranging housing for FEI personnel, contractors, and vendors, submitting payments and/or per diem for contractors, maintenance of calendars and schedules, transportation coordination.

Coordinates travel arrangements for all Creative Team members (Designers, Directors, Choreographers), coaches/trainers and independent contractors during production periods and tour season.

Review and distribute coach, trainer, and independent contractor contracts.

Review and submit expense reimbursements for all Creative Team members, coaches/trainers, and independent contractors.

Coordinates opening night event for all new productions including, but not limited to securing a location, food and beverage, décor, music.

Maintains and distributes Tour Operations planning calendars; distributes show staffing updates to appropriate Corporate Office personnel.

Responsible for own professional standards of conduct, appearance, and workmanship in respective job; and for following the rules, regulations and guidelines set forth by "Feld Entertainment, Inc."

All other job-related duties as assigned by supervisor.

Qualifications

College degree preferred but not required.

Previous work experience as an Ice Show Tour Coordinator, an equivalent combination of work experience and education, or experience performing similar duties for a live touring show.

Previous work experience in the Travel industry or coordinating / facilitating Domestic & Int'l travel arrangements for groups of 100 or more people.

Must have a valid driver's license & passport and be willing to travel internationally and domestically as needed.

Skills & Abilities

Proficient computer skills with Microsoft Word, Excel, and Outlook.

Ability to apply common sense understanding to carry out instructions furnished in written, or diagram form, and the ability to solve practical problems and interpret diverse instructions.

Ability to write detailed comprehensive reports and correspondence; and to communicate on various organizational levels with strong interpersonal and organizational skills.

Familiarity with US & Int'l Visa requirements, Workers Compensation rules & procedures, FMLA, and the basics of US law regarding the hiring & termination of employees.

Experience facilitating / coordinating PR / Promotional events; including live & taped Radio & Television events, Print interviews, and live appearances.

Experience working with and managing large, multinational groups.
