Production Coordinator

Job TitleSummary: This position involves managing multiple Direct Mail, Print, and Stationery campaigns, ensuring timely delivery and quality standards. Responsibilities include tracking campaigns, reviewing artwork and data files, preparing job estimates, managing inventory, and coordinating with vendors.ResponsibilitiesTrack multiple Direct Mail, Print, and Stationery campaigns concurrently and monitor progress to keep all jobs on track and delivered on time with reporting as neededMeticulously review artwork, data files, vendor proofs, and programming instructions to catch and resolve errors, ensuring quality standards are met across all print and direct mail workflowsPrepare and obtain job estimates, analyze costs, make vendor recommendations to stakeholders, execute purchase orders, perform invoice reconciliation, manage postage, and support financial trackingServe as compliance liaison for programs as neededManage inventory levels and monitor stock to support uninterrupted supplyCoordinate with print, stationery, and mail vendors to prepare and make vendor recommendations to stakeholders and hold vendor partners accountable to quality and delivery standardsSupport vendor contracts and Statements of Work (SOWs) in partnership with sourcing/procurement and business teamsGrow to become the Subject Matter Expert (SME) for supported platforms, document processes and workflows, and results reportingRequirementsStrong project & process management and organizational skillsExceptionally detail-oriented with strong proofreading skillsData mindset as applied to direct mail variable data programming instructionsDemonstrates production and quality-control disciplineAptitude for financial management tasksStrong communication skillsProactive, problem-solving approachPreferred SkillsHighly organized and detail-oriented, with a bias toward actionSolution-focused to identify problems and bring solutionsTechnologic aptitude to have comfort leveraging operating platforms such as Microsoft Office, Adobe Workfront, Ariba, and AI toolsClient-focused communicatorPreference for experience within insurance, financial services, or other regulated industriesPreference for working knowledge of print production, direct mail coordination, or a related production/operations role
