ROLE HIGHLIGHTS The Customer Service Coordinator plays an important role in supporting the Customer Service team by providing administrative and customer service support. This position serves as a primary point of contact for customers and Sales Representatives, managing hotline calls, responding to inquiries, and ensuring requests are addressed promptly and professionally. The role also supports day-to-day administrative activities and helps maintain efficient Customer Service operations. Strong communication, organization, professionalism, and a commitment to delivering a positive customer experience are essential for success in this role. Essential Duties and Responsibilities include the following. Organize and prioritize incoming requests to ensure timely follow-up and resolution. Provide Customer Service administrative support, including filing, data entry, and routine office tasks. Manage Customer Service Hotline calls, addressing inquiries and routing escalations appropriately. Monitor customer emails and assign requests to the appropriate Customer Service Representative for follow-up. Review website registration requests, vet prospective customers, establish new accounts in Impress, update VAT information, and initiate welcome communications. Prepare credit documentation for management authorization, ensuring accuracy and proper recordkeeping. Prepare and distribute President’s Thank You letters accurately and timely. Provide occasional order entry support for blank goods orders and service shipments. Monitor the returns folder and route requests to the appropriate Customer Service Representative. Review FedEx and UPS billing for accuracy and follow-up as needed.Coordinate pre-production and swatch photos as required. Review and maintain departmental reports to ensure information remains current and accurate. Maintain and update Excel drop shipment records. Process and maintain customer master data updates. Effective problem-solving and active listening skills to address challenges and meet customer needs. Knowledge of consumer journey mapping, ensuring a seamless, high-quality customer experience. Bilingual English/Spanish skills preferred. Education And/Or Experience Computer Skills High school diploma required; Associate degree in business administration or a related field preferred. Minimum of 1–2 years of customer service experience or equivalent education and experience. Demonstrated high proficiency with Microsoft Office Suite, including word, Excel, Outlook, PowerPoint.
