The practice focuses primarily, and is internationally known for, gender affirmation surgeries encompassing Facial Feminization (FFS) and Facial Masculinization (FMS) surgeries. Our patients travel from across the country and abroad for facial feminization (FFS), facial masculinization (FMS), craniofacial, and facial aesthetic surgery. Many are anxious, far from home, and about to make one of the larger decisions of their lives. This role exists so that from first inquiry to final follow-up, every one of them feels expected, looked after, and known. The Role

• Patient Relations: You are the practice's voice and face. You greet every patient by name, offer refreshments, answer the phone, respond to inquiries, and set the tone for the visit. You learn our procedures and our patient population well enough to speak with prospective patients confidently and with discretion.
• Concierge Coordination: You arrange the practical side of a patient's stay in San Francisco: hotel and accommodation recommendations, transportation to and from surgery, letters for travel, and the small courtesies that make a hard week easier.
• Practice Operations: 
• • Keep patient's paperwork moving : intake forms complete before the visit, consent and surgical packets sent for signature on schedule, appointments scheduled and confirmed, check-outs processed
  • Weekly Non-Surgical Reporting: Run weekly non-surgical reports to make sure that all non-surgical patients have checked out with their transactions accurately logged in Nextech
  • Surgical Chart Management: Building surgical charts ahead of time and breaking them down post-procedure.
  • Facilities & Presentation: Keeping the reception area and pantry stocked and presentable

Familiarity with Google Workspace, Microsoft Office, Keynote, Square, and DocuSign is preferred; you'll learn Nextech on the job.

• Team Collaboration: You report to the Office Manager. We are a small team; everyone answers the phone, and everyone helps where the day needs it.

Schedule & Location

Monday through Friday, 9:00 AM to 6:00 PM, in the office. Full-time, non-exempt, at-will position.

Requirements & Qualifications

• Several years in a guest-facing hospitality role: luxury hotel, private club, residence, or comparable concierge setting
• Clear, warm communication in person, by phone, and in writing
• Comfortable with administrative work and quick to learn new software
• Punctual, polished, organized and professional in presentation
• Discreet, respectful of patient privacy (HIPAA), and at ease with a diverse patient population
• Eager to learn our surgical and non-surgical procedures
• Bring a strong "can-do" attitude to patient service, offering helpful alternatives whenever a direct request is not possible
• Open to taking on new tasks and responsibilities as the business grows

Preferred: fluency in a second language. Prior experience in a medical or aesthetic practice is useful but not expected; hospitality instincts matter more.

About the Team

The practice is small and stable. Our nurse practitioner has been with us 15 years, our patient coordinator 8 years, and our lead PA 5 years. This position is open immediately. The office is on Union Square, surrounded by restaurants and shops and steps from BART and Muni.

Compensation & Benefits

• $30 to $45 per hour, based on experience and skills
