Position Summary

The Customer Service Representative is the first point of contact for Gregory Packaging's customers. The role handles order entry, answers questions about products and orders, and keeps customer records accurate. It works closely with Sales, Operations, and Logistics so that customer issues are resolved quickly.

This entry-level role also supports the bid and proposal process. That includes preparing bid packages, gathering compliance documents, tracking deadlines, and keeping contract files organized. It's a good fit for someone who is detail-oriented, organized, and wants to grow within a manufacturing and distribution company.

Essential Duties and Responsibilities

Customer Service

• Serve as a primary point of contact for customer inquiries by phone and email.

• Enter and process customer orders, and give timely updates on order status.

• Respond to requests for product information and documentation.

• Document customer interactions, transactions, comments, and complaints, and keep customer records and files accurate.

• Work with Sales, Operations, and Logistics to resolve customer issues and complaints.

• Help set up new customer accounts and their documentation.

• Monitor customer communications and follow up promptly.

Bid & Proposal Support

• Help prepare bid and proposal submissions.

• Gather the documentation required for RFPs, RFQs, and contract renewals.

• Maintain bid calendars and monitor submission deadlines.

• Help with pricing spreadsheets and product information.

• Prepare compliance documents, certifications, and required forms.

• Track bid awards and contract expiration dates.

• Keep bid and contract files organized in the electronic filing system.

Qualifications

Education & Experience

• College degree preferred.

• 1-2 years of administrative or customer service experience preferred.

• Experience with bids, proposals, or government contracts is a plus.

• Experience in foodservice, manufacturing, or distribution is a plus.

Knowledge, Skills & Abilities

• Proficient in Microsoft Office, including Excel, Word, and Outlook.

• Knowledge of ERP and CRM software preferred.

• Excellent written and verbal communication skills.

• Strong organization, time management, and attention to detail.

• Able to manage multiple priorities and meet deadlines.

• Positive, professional, and customer-focused, and stays calm under pressure.

• Able to work independently and as part of a team.

• Handles confidential customer and pricing information with discretion.

Physical Demands

• Prolonged periods of sitting and working at a computer.

• Repetitive keyboard and telephone work.

• Occasionally lift up to 25 pounds.
