Specialty Referral Veterinary Receptionist (Care Coordinator) PetVet Care Centers' Pacific & Santa Cruz Veterinary Specialists is seeking a Specialty Referral Care Coordinator to join our team. Position Overview Direct, plan and coordinate patient service functions related to referring veterinarian communication, client service and staff assistance at the Pacific and Santa Cruz Veterinary Hospital. Responsibilities include coordinating reception (client and phone), maintaining veterinary medical records, acting as liaison between clients and referring veterinarians, and assisting doctors to provide high quality client and patient care. Key Responsibilities Provide an exceptional referral experience from scheduling through discharge. Coordinate scheduling, check‑in, and client communication in reception and lobby. Assist with admissions, transfers, and discharge appointments for specialty patients. Serve as patient liaison, providing staff and doctors with up‑to‑date updates on client status. Act as a liaison between doctors and clients to ensure effective communication; provide routine status updates on client pets. Assist doctors with payment arrangements after the medical care plan has been discussed. Support projects and programs that grow the specialty referral practice, including referral data reporting and scheduling of rDVM visits. Educate clients and staff about products and services offered in the specialty practice. Daily & Reoccurring Duties Manage voicemail and return calls; handle email communications, including lab/report updates. Obtain ICU updates on referral patients and ensure files and records are updated in Cornerstone. Prepare records, consent forms, and estimates for new consults and specialty procedures. Email referral correspondences to veterinarians and finalize surgical reports. Schedule consultation and surgery appointments and arrange MRI appointments. Send practice brochures to other hospitals and provide clients with procedure information. Update referral hospitals and veterinarians in Cornerstone and respond to daily requests. Qualifications (Required) Client service experience. Ability to manage multiple applications simultaneously. Experience handling multiple phone lines. Exceptional communication skills. Strong problem‑solving abilities. Preferred Skills Previous veterinary referral experience. Previous veterinary reception experience. Schedule Four 10‑hour shifts, including one weekend shift per week and occasional holidays. Schedule available 8 weeks in advance. What We Offer Medical, dental, and vision insurance.
