Patient Services Representative

Job Summary

Community Health Partnership of Illinois (CHP) is seeking a compassionate, organized, and detail-oriented Patient Services Representative to join our team at the CHP Harvard Health Center .

The Patient Services Representative serves as an important first point of contact for patients and visitors and plays a key role in creating a welcoming and efficient healthcare experience. This position is responsible for supporting front-desk operations, coordinating appointments, maintaining accurate patient information, and assisting patients with general questions related to scheduling, insurance, and services.

The ideal candidate is professional, dependable, patient-focused, and able to manage multiple priorities in a fast-paced healthcare environment.

Key Responsibilities

• Greet patients and visitors in a welcoming, courteous, and professional manner.
• Manage patient check-in and check-out processes while ensuring accurate documentation and data entry.
• Schedule, confirm, and coordinate patient appointments with clinical staff.
• Answer incoming phone calls and respond to patient questions regarding appointments, services, insurance, and general information.
• Verify and update patient demographic and insurance information.
• Maintain accurate and confidential patient records in accordance with organizational policies and applicable healthcare regulations.
• Assist patients with billing questions, payment processing, and other front-desk needs as appropriate.
• Communicate effectively with clinical and administrative staff to support efficient patient flow.
• Address patient questions or concerns professionally and escalate issues when appropriate.
• Perform general administrative duties, including filing, scanning, faxing, and organizing documents.
• Maintain an organized and professional front-desk and reception area.
• Support additional administrative and patient service responsibilities as assigned.

Qualifications

• High school diploma or equivalent required.
• Previous experience in a healthcare, medical office, administrative, or customer service setting preferred.
• Strong verbal and written communication skills.
• Excellent interpersonal and customer service skills.
• Strong attention to detail and organizational skills.
• Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced environment.
• Basic proficiency with computers, office applications, and electronic record systems.
• Ability to handle confidential and sensitive information with professionalism and discretion.
• Compassionate, respectful, and patient-focused approach.
• Ability to work collaboratively as part of a healthcare team.
