Duties:

Job Summary:
The Administrative Assistant provides administrative and operational support to the Corporate Compliance department. This position manages department communications and requests, coordinates document workflows, maintains accurate records and trackers, and follows up with internal and external stakeholders to support timely completion of compliance-related activities. The role requires strong attention to detail, sound judgment, confidentiality, organization, and professional customer service.

Job Responsibilities:

-Ensure compliance with rules and regulations.

-Performs other related duties as required and assigned

-Completes required Compliance annual training.
-Monitor and manage designated shared department mailboxes, review incoming requests, and route or process items in accordance with established procedure
-Review submitted requests and related documentation for completeness and accuracy and obtain missing or corrected information as needed.
-Coordinate electronic signature workflows for compliance-related documents, including preparing and sending documents to designated recipients for signature.
-Track outstanding signature requests and provide timely follow-up with recipients and branch or location personnel through completion.
-Distribute completed documents to the appropriate branch, location, or stakeholder and maintain organized electronic records.
-Maintain accurate trackers, logs, and status information to support department reporting, follow-up, and workflow visibility.
-Support administration of department-approved electronic systems, including processing user access and template permission requests in accordance with established procedures.
-Communicate professionally with branch and location personnel, internal departments, and external recipients regarding request status, documentation needs, and next steps.
-Protect confidential and sensitive information and follow applicable company policies, procedures, and compliance requirements.
-Escalate overdue items, incomplete requests, system access concerns, and other potential issues to the supervisor as appropriate.
-Identify opportunities to improve administrative workflows, documentation, tracking, and communication within the department.
-Provide general administrative support for department projects and priorities and perform other related duties as assigned.
-Proficiency with standard office computer equipment and Microsoft Office applications
-Ability to learn and use company-approved email, electronic signature, document management, tracking, and reporting systems
-Professional office or remote administrative work environment, based on business needs
-While performing the duties of this job, the employee is regularly required to sit for extended periods of time, use a computer and other standard office equipment, and communicate verbally and in writing.

-Strong written and verbal communication skills, including professional follow-up with internal and external stakeholders.
-Ability to manage multiple requests, priorities, deadlines, and follow-up activities in a high-volume environment.
-Proficiency with Microsoft Office applications and shared electronic mailboxes.
-Ability to learn and use electronic signature, document management, tracking, and other department-approved systems.
-Ability to maintain accurate records, trackers, logs, and electronic files.
-Ability to work independently, exercise sound judgment, and escalate issues appropriately.
-Ability to handle confidential and sensitive information with discretion.
-Commitment to professional customer service, collaboration, and continuous process improvement.

Preferred Skills & Experience:
-Prior administrative support, document processing, shared mailbox, or related office experience.
-Experience supporting compliance, legal, healthcare, contracting, credentialing, or another regulated business function.
-Experience with electronic signature or document workflow systems.

Education:

Required Education:
-High school diploma or equivalent.
