Position: Portfolio Operations Specialist Location: Saint Louis, MO Job Id: 302 # of Openings: 1 Portfolio Operations Specialist Bommarito Wines & Spirits is seeking an organized, detail-oriented, and motivated team member to support our purchasing, logistics, compliance, and operational processes. This role is ideal for someone who enjoys problem-solving, working with technology and systems, coordinating moving pieces, and being part of a collaborative team environment. This is a unique opportunity to work in the wine, beer, and spirits industry while helping manage the flow of products from suppliers across the US, Europe, and South America into our distribution network. The position works closely with our portfolio managers, suppliers, freight carriers, operations staff, and accounting personnel to help ensure products move efficiently from purchase order to delivery. This position reports to the Director of Finance. Responsibilities Execute and manage purchase orders based on direction from portfolio management team Coordinate directly with domestic and international suppliers regarding order timing, confirmations, and shipment status Monitor open orders and proactively communicate updates or potential issues Help ensure products move from supplier to warehouse smoothly and accurately International Shipping & Inbound Logistics Coordinate inbound shipments including domestic freight, container shipments, and international imports Work with suppliers, freight forwarders, carriers, and internal teams to manage timelines and deliveries Track inbound inventory and communicate ETAs to warehouse and commercial teams Support receiving schedules and help resolve shipment discrepancies Create and maintain product records and setup within internal systems Coordinate item information, product attributes, pricing support, and documentation Help ensure portfolio data is organized, accurate, and up to date Compliance & Documentation Support product registrations, licensing documentation, and regulatory requirements Maintain records to support federal and state compliance requirements Assist with audits, documentation requests, and process improvement initiatives Business Operations Support Assist Accounts Payable and Accounts Receivable functions as needed Support invoice review, pricing discrepancies, and vendor/customer communication Assist with reporting, spreadsheets, and general office coordination Provide administrative support to the accounting and operations teams What Makes Someone Successful in This Role Highly organized and dependable Strong attention to detail and follow-through Comfortable working with data, systems, and Excel Excellent written and verbal communication skills Able to manage multiple priorities and shifting timelines Curious, proactive, and willing to learn Excited by wine, spirits, food, hospitality, or consumer products Preferred Experience We’re open to different backgrounds, but successful candidates may come from: Operations or office management Purchasing coordination or inventory administration Sales support or customer operations Accounting or invoice administration Compliance or regulated industries Distribution, hospitality, beverage, food, or consumer products Why Join Bommarito Wines & Spirits?
