Registrar – Adams State University Location: Alamosa, Colorado. About the Role Reporting to the Assistant Vice President of Enrollment Management, the University Registrar provides strategic leadership and oversight for all functions of the Registrar’s Office, ensuring the integrity, accuracy, and security of academic records and student information systems (Workday). The role manages registration, grading, transcripts, degree verification, compliance, and graduation auditing in alignment with university policies and legal regulations such as FERPA. The Registrar collaborates with IT and campus partners to implement and optimize technology solutions that support student success, supervises staff, maintains procedural documentation, and ensures accurate reporting to internal and external stakeholders. Responsibilities Registrar’s Office Administration Hires, trains, and supervises department personnel for the registrar’s office functions. Conducts staff performance evaluations. Supports a service‑oriented culture that provides responsive, proactive communication fostering positive relationships with stakeholders. Provides opportunities for professional development of departmental staff. Serves and represents the office at internal and external meetings as needed. Maintains memberships and actively participates in professional registrar‑oriented organizations. Manages the departmental budget on a monthly basis to ensure cost‑effective operations. Maintains current knowledge of technology applications. Conducts regular staff meetings to align on strategies and goals. Works with faculty and staff to proactively resolve issues and challenges in a timely manner. Student Records Administration Maintains and preserves the integrity of all student data and academic records. Conducts scheduled audits and communicates with faculty and staff to ensure data accuracy and integrity. Responsible for optimization and management of the Student Information System. Serves as the primary data steward over student records, collaborating with IT to review and adjust access to data. Ensures timely processing, accuracy, and communication regarding student registration, academic standing, grade reporting, and related services. Ensures completeness, accuracy, and security of transcripts and records in compliance with FERPA. Collaborates with functional departments and serves as subject‑matter expert to develop and monitor academic policies and procedures supporting student success. Creates strategic engagement campaigns for internal and external stakeholders. Regularly communicates with faculty and staff on academic regulation updates. Develops and processes ad‑hoc reports for records, registration, and as requested. Supervises the preparation and delivery of academic transcripts and diplomas. Reviews and determines status of residency petitions as per Colorado statutes. Reviews residency procedures and consults with the state attorney general's office as needed. Compliance Keeps apprised of current or changing federal and state regulations; works with state and campus constituencies to ensure institutional regulatory compliance. Maintains and implements records retention policies. Interprets and administers FERPA, providing leadership to ensure institutional compliance with FERPA and accrediting standards. Oversees athlete eligibility certification required by university policy and athletic conference regulations. Communicates with academic departments and athletics staff to ensure compliance with regulations, policies, and procedures. Qualifications Bachelor’s degree required; Master’s degree preferred. 5+ years of experience in higher education and/or academic records administration. Excellent written and oral communication skills. Ability to take initiative and exhibit professionalism through reliable behavior and accountability. Attention to detail in daily work and planning. Ability to evaluate and analyze efficiency and productivity levels. Demonstrated experience managing a department under general administrative direction. Experience with stabilizing and optimizing new technologies such as SIS or similar systems is preferred. Compensation & Benefits The salary range for this position is $76,400 – $107,000.
