Overview Academic Department Coordinator for History and Peace & Conflict Studies Position Title: Academic Department Coordinator for History and Peace & Conflict Studies Work Arrangement: On-Site (Hamilton, NY) – full/part-time at designated campus location. Division: Dean of the Faculty Department: History Work schedule: Temporary (open until filled). Job Open Date: 04/29/2026. Job Close Date: Open Until Filled. Salary Range: $20.00-$22.00/hour. Responsibilities Administrative support and coordination for one or more academic departments or programs; responsibilities may change over time based on organizational needs. Facilitate daily operations with a proactive approach; manage calendars, itineraries, contacts, and correspondence; greet visitors and maintain a welcoming reception area. Identify issues, address challenges, and contribute to continuous improvement of departmental processes; assist in onboarding new employees and filling in during staff vacancies. Monitor departmental budgets, generate regular reports on status and variances, coordinate with vendors, process quotes, create purchase orders, and manage requisitions for timely payments; maintain office supplies. Maintain department records, analyze data, and prepare reports; edit/format documents and presentations; oversee departmental communication channels including websites, newsletters, posters, and invitations. Plan and execute events and travel plans, collaborating with faculty and stakeholders; handle room/building scheduling and work orders; hire and coordinate student or casual wage staff and manage time entries. Utilize key data systems and software; enter, manipulate, query, and export datasets essential for operations; demonstrate mastery of core system functionalities. Execute special projects, participate in committees, and engage in activities unique to the department or division. Qualifications Minimum of one year of administrative support experience Self-starter able to work independently and as part of a team Proven ability to coordinate multiple projects and priorities simultaneously Service-oriented mindset with strong follow-through and problem-solving Enthusiasm for learning new skills and taking on new assignments Strong verbal and written communication skills with attention to detail Proficiency with Google Workspace (Docs, Sheets, Calendar) and/or Microsoft Office (Word, Excel) Experience with travel and event logistics Discretion in handling confidential and sensitive information Ability to interact collegially with a culturally diverse group of faculty, staff, and students Education and Certifications Minimum of an Associate’s degree or equivalent combination of education and experience Benefits and Additional Information Colgate University offers a competitive benefits package; most benefits are effective on date of hire.
