Clinic Practice Manager

Summary The Clinic Practice Manager is an integral part of Kaleidoscope ABA’s mission to deliver therapeutic services to children with autism. The role involves day‑to‑day staff and services management, recruitment, scheduling, customer service, reporting, and general administrative tasks to support the center’s operations. The manager maintains accurate records of staffing and delivery of services, assists in creating and managing the master schedule, and ensures that clinical cases are appropriately staffed according to budgeted hours per client and insurer authorization. Acting as a liaison between administrative and clinical staff, the manager is the primary point of contact for case assignment and staff availability. Responsibilities Oversee staff scheduling and management. Coordinate recruitment and onboarding of clinical and administrative staff. Maintain accurate records for staffing and service delivery. Create, update, and manage the master schedule ensuring compliance with budget and insurance requirements. Act as a reliable source of information for staff, clients, peers, and management. Serve as the primary contact for case assignment and staff availability. Collaborate with HR, Operations, and Clinical departments to support overall organizational goals. Perform additional duties as needed to support company operations. Qualifications and Education Bachelor’s degree in Marketing, Business Administration, Healthcare Management, or related field is preferred; equivalent work experience acceptable. Minimum 5 years of management experience in a professional setting, preferably in medical, behavioral health, PT, OT office or similar operation. 5–7 years of staff management experience preferred. Prior experience as a Practice Manager or Retail Manager encouraged. Professional knowledge of business operations, growth and development, staff scheduling, personnel management, and customer acquisition. High standard of ethical conduct, confidentiality and integrity. Excellent communication, negotiation, and interpersonal skills. Strong rapport‑building, time‑management, organization, and prioritization abilities. Ability to work independently toward assigned goals and manage multiple tasks. Proficiency with Microsoft Office (Word, Excel, PowerPoint) and email systems. Benefits & Advantages Medical, Dental, and Vision insurance through United Healthcare. Standard hours: 7:30 a.m. – 5:00 p.m.; flexibility needed to meet current recruitment and operational needs. Full‑time responsibilities include reading and responding to emails and calls outside of standard hours.
