About the Role:

The Safety Coordinator is responsible for supporting and promoting a culture of safety throughout the organization. This role assists with DOT and OSHA compliance, accident investigations, driver qualification files, safety training, regulatory reporting, and the administration of company safety programs. The Safety Coordinator works closely with Operations, Human Resources, Fleet Maintenance, and Drivers to reduce risk, improve compliance, and ensure the safety of employees, equipment, and the public.

Essential Duties & ResponsibilitiesDOT & Regulatory Compliance
  • Maintain compliance with all Federal Motor Carrier Safety Administration (FMCSA), DOT, OSHA, and state regulations.
  • Monitor driver qualification (DQ) files to ensure all required documentation remains current.
  • Track CDL expirations, medical certifications, licenses, and endorsements.
  • Review electronic logging device (ELD) compliance and Hours of Service (HOS) violations.
  • Assist with DOT audits and regulatory inspections.
  • Maintain accurate safety records and documentation.
Driver Safety
  • Conduct new hire safety orientations.
  • Coordinate ongoing driver safety training and refresher courses.
  • Review driver safety performance and identify coaching opportunities.
  • Monitor CSA scores and assist with corrective action plans.
  • Promote defensive driving and accident prevention initiatives.
Accident & Incident Management
  • Respond to vehicle accidents and workplace incidents.
  • Conduct accident investigations and gather statements, photographs, and supporting documentation.
  • Coordinate post-accident drug and alcohol testing.
  • Complete accident reports and maintain investigation files.
  • Track claims and communicate with insurance carriers when necessary.
  • Recommend corrective actions to prevent future incidents.
Training & Communication
  • Deliver safety meetings and toolbox talks.
  • Develop educational materials and safety bulletins.
  • Promote a positive safety culture throughout the organization.
  • Communicate regulatory changes affecting company operations.
  • Support continuous improvement initiatives related to safety.
Reporting & Administration
  • Maintain safety databases and electronic records.
  • Prepare weekly and monthly safety reports.
  • Track accident frequency, OSHA incidents, DOT violations, and corrective actions.
  • Monitor driver scorecards and safety KPIs.
  • Assist with maintaining company safety policies and procedures.
Cross Functional Support
  • Partner with Human Resources regarding employee investigations involving safety.
  • Work with Fleet Maintenance to identify equipment-related safety concerns.
  • Support Operations in developing safe work practices.
  • Assist with workers' compensation documentation and return-to-work coordination.
  • Participate in audits, compliance reviews, and continuous improvement initiatives.
Qualifications
  • 2 years of transportation, fleet, logistics, or safety experience preferred.
  • Knowledge of FMCSA, DOT, OSHA, and transportation safety regulations.
  • Experience conducting investigations and documenting findings.
  • Strong organizational and documentation skills.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information professionally.
  • Strong problem-solving and analytical abilities.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Experience with transportation management or safety systems preferred (Geotab, Samsara, Lytx, Omnitracs, etc.).
  • Will train the right individual.

Physical Requirements
  • Ability to sit, stand, and walk for extended periods.
  • Occasional travel to terminals and customer locations.
  • Ability to inspect equipment and vehicles in various weather conditions.
  • Occasionally lift up to 25 pounds.
