Grade 8 (Salaried) Position Description The University of Louisville is seeking to hire a Program Manager II to serve as the operational lead for the Doctor of Social Work (DSW) Program, acting as liaison among students, faculty, university offices, alumni, and external stakeholders. Support a student-centered and equity-focused doctoral learning environment while exercising independent judgment in managing complex administrative, operational, and student matters. Recruitment and Marketing Research and collaboration with Kent recruitment staff on the development and implementation of comprehensive recruitment and enrollment strategies for the DSW program. This position will be responsible for conducting face-to-face and virtual information sessions and may conduct presentations and community outreach initiatives on behalf of the DSW program. Collaborate with the Kent marketing office on strategic communication and marketing efforts across newsletters, social media, website content, recruitment materials, and related publications to ensure consistent doctoral program branding and messaging. Research new markets and recruitment pipelines for the DSW program, including initiatives focused on inclusive student recruitment, in collaboration with Kent School marketing and recruitment personnel, Online Learning, and other university partners. Analyze trends in doctoral education, workforce needs, and competitor programs to inform recruitment, enrollment growth, and program development strategies. Create, maintain, and present recruitment, admissions, enrollment, retention, and graduate outcome reports to administrative leadership and accrediting or external agencies, including CSWE, NASW, and KHEAA. Develop and support long-term strategic planning related to program growth, market positioning, and student enrollment initiatives. Develop and maintain relationships with alumni, agencies, healthcare systems, nonprofits, and community organizations to support mentorship, recruitment, networking, partnerships, and program visibility. Admissions, Student Enrollment, and Strategic Enrollment Management Supervise the timely, equitable, and efficient review of DSW applications and admissions processes, including adjusting work schedules during peak admissions periods as needed. Coordinate with university offices including the Graduate School, Delphi Center, International Center, Center for Community Engagement, and other campus partners to facilitate admissions processes, approvals, and compliance requirements. Oversee the student enrollment continuum from prospective student inquiry through matriculation, progression, and graduation. Provide students with information regarding admissions, registration, course scheduling, financial aid, scholarships, and university resources. Manage DSW course scheduling and monitor enrollments in collaboration with the DSW Program Director to support strategic course management goals. Student Support, Advising, and Retention Serve as the departmental point person for DSW student retention, satisfaction, engagement, and student success initiatives. Conduct regular meetings with students to address concerns, support academic planning, and facilitate student persistence and well‑being. Develop, coordinate, and facilitate student engagement and professional development initiatives, including DSW Synergist meetings, orientations, workshops, and student success programming. Track student progress and adherence to program plans, communicating concerns and recommendations to the DSW Program Director as appropriate. Coordinate Academic and Professional Review processes, including documentation, follow-up, and monitoring of identified student concerns. Analyze and synthesize quantitative and qualitative student data to inform innovative retention strategies, student success initiatives, accreditation reporting, and continuous program improvement. Collaborate with the DSW Program Director, Associate Dean of Academic Affairs, Associate Dean of Equity and Inclusion, and related stakeholders to strengthen multicultural student retention, belonging, and anti‑racist program initiatives. Maintain familiarity with best practices related to doctoral student success, retention, well‑being, and equity‑focused student support services. Dissertation and Capstone Process Administration Coordinate and support dissertation and capstone‑related processes, including tracking progression benchmarks, proposal approvals, defense timelines, and graduation clearance requirements. Schedule proposal and capstone defenses. Communicate deadlines and procedural requirements to students and faculty. Maintain systems for monitoring capstone completion, student progression, and related program outcomes. Faculty Support and Academic Program Coordination Coordinate onboarding, scheduling, and administrative support for all faculty, including adjuncts and those overseeing capstone. Assist faculty with student communication workflows, doctoral program procedures, and operational processes. Maintain faculty resource materials and promote consistency in doctoral program policies, procedures, and communications. Coordinate, participate in, and document doctoral faculty and team meetings, including follow‑up on action items, unfinished business, and future agendas. Program Events, Communications, and Operations Coordinate and support DSW program events including orientations, information sessions, open houses, student receptions, graduate student appreciation activities, capstone presentations, alumni engagement events, and commencement celebrations. Collaborate with Kent marketing to develop and distribute regular program communications and newsletters highlighting events, updates, deadlines, achievements, and student resources. Collaboratively oversee preparation and maintenance of DSW program materials and publications, including the college catalog, program handbook, webpages, Blackboard content, and related program documents. Maintain databases and information systems used by the DSW Program, including Sonia and other student tracking systems. Represent the DSW program and Kent School on university and external committees, initiatives, and collaborative partnerships. Preferred Qualifications Master's Degree in Social Work or corresponding field. Experience in student‑centered environment with ability to work effectively with minimal direction and supervision. Exceptional written, verbal, and presentation skills. Target Compensation Maximum: $100,553.00 Target Compensation Minimum: $67,035.00 Compensation will be commensurate to candidate experience.
