This individual will serve as the first point of contact for patients, study participants, sponsors, and visitors while helping to ensure a welcoming, efficient, and professional environment.The ideal candidate is detail-oriented, dependable, and comfortable managing front desk responsibilities in a fast-paced healthcare and clinical research setting. In addition to reception and scheduling duties, this role will provide administrative and operational support to clinical and research teams as needed.Key ResponsibilitiesGreet and check in patients, visitors, sponsors, and study participants in a professional and welcoming mannerEnsure patient registration, consent forms, demographic information, and required documentation are complete and accurateSchedule, confirm, and coordinate patient and study-related appointments to support efficient clinic and research operationsAnswer incoming calls, respond to inquiries, and route communications appropriately in a timely and professional mannerSupport front desk and administrative operations to ensure a positive patient and participant experienceCoordinate with clinical, administrative, and research staff to manage patient flow and minimize wait timesAssist with patient check-out, follow-up scheduling, and visit-related documentationProcess and manage medical records requests in accordance with company policy and HIPAA requirementsMaintain accurate electronic records, including timely scanning, filing, and organization of documentation within company systemsPrepare daily schedules and assist in ensuring appointments and study visits are operationally readyMaintain a clean, organized, and professional reception and front desk environmentSafeguard patient confidentiality and ensure compliance with HIPAA, GCP, and applicable privacy regulationsCommunicate effectively with providers, coordinators, sponsors, CROs, and internal staff to support seamless clinic and research operationsProvide administrative support to clinical research activities under the direction of research staff and site leadershipAssist with participant-facing aspects of clinical research studies, including scheduling, appointment coordination, and general administrative supportSupport operational projects, process improvement initiatives, and additional administrative duties as assignedParticipate in team meetings, trainings, and ongoing operational development initiativesPerform other duties and responsibilities as assigned to support clinic, research, and operational needsEquity Medical is an equal opportunity employer committed to fostering a collaborative, inclusive, and patient-focused research environment.
