As an employee-owned agency, every team member has a stake in our shared success. The Operations Coordinator plays a critical role in supporting the agency's internal operations. The ideal candidate will be passionate about customer service and don't mind being in the background supporting the client-facing team, have a passion for organization, streamlining processes and workflows, creating efficiencies, solving problems, and coming up with creative solutions to operational challenges.

THE ROLE

Technology & Systems

• Provide day-to-day technical support and assist with new technology implementation.
• Manage carrier logins, EPIC downloads, system communications, and related troubleshooting.
• Communicate EPIC outages, coding updates, reminders, and other system-related information.

Equipment & Office Operations

• Maintain equipment inventory, asset tagging, and ongoing tracking.
• Manage keys and parking.
• Support building maintenance needs in collaboration with the Front Desk Coordinator.
• Manage policy downloads and items in suspense.

Scheduling & Workplace Support

• Support workforce scheduling, office closures, holidays, summer Fridays, events, and related communications, in collaboration with Front Office Coordinator.
• Support coordination of office food and supply needs in collaboration with the Front Office Coordinator.

Quality & Client Experience

• Support quality control initiatives and process improvements.
• Assist with developing and maintaining client feedback mechanisms.
• Create and distribute quarterly continuing education opportunities.

General Support

• Provide miscellaneous administrative and operational support as needed.

YOUR QUALIFICATIONS & EXPERIENCE

• You have proven experience in roles that require multi-tasking, high attention to detail, organization, and emphasis on confidentiality
• You have demonstrated ability to effectively communicate, build meaningful connections, and calmly de-escalate situations of frustration
• You are comfortable taking initiative to solve problems and are comfortable working independently and as a member of a team
