About this Role The Administrative Assistant at Quanta Infrastructure Solutions Group, LLC (QISG) provides direct administrative support to the leadership team at QISG. What You'll Do

- Answers and transfers incoming phone calls, screening when necessary
- Welcomes and directs visitors and clients
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
- Responds to and resolves administrative inquiries and questions
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors
- Assists with the coordination and planning of company events and meetings
- Prepares agendas and schedules for meetings
- Records and distributes minutes or other records for meetings
- Maintains office supplies inventory; anticipates supplies needs; places and expedites supply orders and verifies receipts
- Maintains conference rooms, kitchen, and other meeting rooms
- Assists leadership team with processing purchasing card and expense reports
- Coordinates visitor and/or new hire seating
- Retrieves and distributes office mail; sends outgoing mail and prepares fed-ex packages
- Adheres to internal standards, policies, and procedures
- Performs special projects and completes other duties as assigned or requested
- High School diploma, or equivalent
- 3+ years' experience in an administrative support role
- Ability to influence and communicate effectively with other team members
- Strong problem evaluation/solving skills
- Strong team building skills
- Strong organizational and time management skills
- Strong communication skills (verbal and written)
- Strong computer skills (Microsoft Office)
