Sr Document Imaging Specialist

Overview Health Information Management Services (HIMS) is responsible for document preparation, scanning, indexing, and abstraction of paper documents to accurately file in the electronic health records. The HIMS Senior Document Imaging Specialist resolves problems with documents such as missing Medical Record Numbers, account (CSN) numbers, missing pages, and fixes document pages as needed while performing quality assurance of scanned records. Responsibilities Participate in validation testing of HIMS system upgrades, train support staff and users of the EMR system, and serve as job expert in assigned areas. Act as lead worker, providing training for HIMS and clinic staff, and serve as project or team leader for 4‑7 staff. Fill in or act as supervisor/manager during the supervisor’s temporary absence, assisting managers/supervisors with tracking time/attendance, monitoring daily duties, and providing feedback and guidance to staff. Oversee work output of others, staff scheduling, and travel to clinics for onsite support training during the first two weeks of EPIC go‑live. Execute world‑class practices of service and patient care in support of C‑I‑CARE standards, including CONNECT, INTRODUCE, COMMUNICATE, ASK permission, RESPOND to patient questions, and EXIT courteously. Work closely with HIMS team, IT, clinic staff, Compliance, MPI, etc., to ensure chart accuracy throughout all clinic systems and troubleshoot/improve documentation quality. Assist in researching and locating missing documentation or incomplete scans, and identify and prioritize non‑approved forms. Support testing, new versions, system upgrades, and new applications to ensure accurate results with minimal impact to end‑users. Process other media forms (CS’s, email, electronic transmissions) and analyze data for quality performance improvement, reporting findings and outcomes. Index and abstract patient documents efficiently, perform quality control, route documents for provider review, and meet regulatory and accreditation requirements. Greeter duties, accurate message taking, interactions with physicians and staff, and communicating issues to IT or EPIC support. Participate in onboarding cycle of new clinics and onsite support/training during EPIC go‑lives. Assist in writing policies and procedures for the HIMS department and performing other assigned duties. Qualifications 3–5 years of experience in a medical record department. Basic knowledge of EPIC Electronic Health Records. Attention to detail, excellent organizational skills, and health information literacy. Knowledge of California Health Code pertaining to medical record procedures and release of information. Strong verbal and written communication skills that demonstrate courtesy, compassion, and helpfulness. Basic ability to lead or supervise other staff. High school math and English aptitude with legible handwriting. Basic Windows skills, including keyboarding, mouse movement, and data entry. Computer skills for accessing and retrieving EMR data. Organizational and multi‑tasking skills; knowledge of office practices and filing systems. Knowledge of medical terminology/anatomy and EMR systems. Knowledge of State and Federal privacy/security laws and release of patient information requirements. Ability to work in flexible, cooperative, and collaborative environments. Ability to maintain concentration amid varying procedures and interruptions. Physical Demands and Work Conditions Constant sitting, frequent walking, occasional standing, bending, squatting, climbing, kneeling, and crawling. Constant hand use with repetitive motion. Frequent grasping, fine manipulation, pushing, pulling, reaching, twisting, and turning. Visual demands: continuous color, peripheral, distance, and focus vision. Lifting: 0‑10 lbs. frequently; 11‑20 lbs. occasionally; 21‑30 lbs. seldom; 31‑40 lbs. seldom; over 40 lbs. seldom. Carrying follows same pattern. Work includes occasional driving, operating equipment, and exposure to normal noise, temperature, humidity, dust, gas, fumes, chemicals, heights, and biohazards (Category III, no blood exposure; Category I, no blood exposure). Travel Requirements Approximately 10% travel required.
