Job Summary
Divine is seeking a detail-oriented and professional Front Desk Administrative Assistant to serve as the first point of contact for clients, visitors, and staff. This position requires excellent customer service, strong typing and documentation skills, and the ability to manage multiple tasks in a fast-paced behavioral health setting while maintaining strict confidentiality.
Responsibilities and Duties
- Greet and assist clients, visitors, and staff in a courteous and professional manner.
- Answer and direct incoming phone calls promptly.
- Schedule client appointments and maintain provider calendars.
- Prepare, type, scan, and file clinical and administrative documents.
- Enter and update information accurately in the electronic health record (EHR).
- Verify insurance and assist with client registration and intake paperwork.
- Maintain organized electronic and paper filing systems.
- Receive, sort, and distribute mail, faxes, and deliveries.
- Monitor office supplies and place orders as needed.
- Ensure the reception area remains clean, organized, and welcoming.
- Maintain confidentiality and comply with HIPAA regulations.
- Perform other administrative duties as assigned.
Qualifications and Skills
- High school diploma or GED required; Associate's degree preferred.
- Minimum of 1 year of administrative, receptionist, or front desk experience (healthcare preferred).
- Excellent typing and data entry skills with strong attention to detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and electronic health record systems.
- Ability to multitask, prioritize, and work independently.
- Professional appearance and positive customer service attitude.
Preferred Qualifications
- Experience in a behavioral health, mental health, or medical office.
- Familiarity with HIPAA regulations.
- Experience with scheduling and electronic documentation.
Physical Requirements
- Ability to sit for extended periods.
- Ability to lift up to 20 pounds occasionally.
- Frequent use of computers, telephones, and office equipment.
