Job Summary The Elite Job is seeking a highly organized and proactive Healthcare Virtual Assistant to provide exceptional patient scheduling support. This role is critical in ensuring smooth patient appointment coordination, maintaining accurate records, and delivering a positive experience for patients and healthcare providers alike. The ideal candidate will have excellent communication skills, attention to detail, and the ability to manage multiple scheduling tasks in a fast-paced healthcare environment. Key Responsibilities Manage and coordinate patient appointments via phone, email, and online scheduling systems. Confirm, reschedule, and follow up on patient appointments to ensure optimal calendar management. Maintain accurate patient records and update scheduling databases. Serve as the first point of contact for patients, providing courteous and professional assistance. Communicate effectively with healthcare providers and administrative teams to ensure smooth workflow. Handle patient inquiries and resolve scheduling conflicts promptly. Support administrative tasks such as data entry, filing, and generating reports as needed. Ensure compliance with HIPAA and other patient confidentiality regulations. Required Skills and Qualifications High school diploma or equivalent; Associate or Bachelors degree in healthcare administration or related field preferred. Previous experience in healthcare administration, medical office, or virtual assistance is highly desirable. Strong computer literacy, including proficiency in Microsoft Office, Google Workspace, and scheduling software. Excellent verbal and written communication skills. Exceptional organizational and time-management abilities. Ability to multitask and manage competing priorities efficiently. Knowledge of patient privacy regulations (HIPAA) is an advantage. Experience Minimum 1–2 years of experience in healthcare administration, patient scheduling, or virtual assistant roles. Familiarity with electronic health record (EHR) systems is a plus. Working Hours Full-time or part-time remote positions available. Flexible scheduling options, including weekdays and some weekends based on patient needs. Standard working hours are generally 9:00 AM – 6:00 PM, but may vary depending on client requirements. Knowledge, Skills, and Abilities Strong interpersonal skills and the ability to build rapport with patients remotely. Attention to detail and accuracy in scheduling and record-keeping. Ability to work independently with minimal supervision. Problem-solving mindset to resolve scheduling conflicts and patient inquiries efficiently.
