Asphalt Express is seeking an organized, safety-focused Fleet Dispatcher to coordinate the transportation of liquid asphalt cement (AC). This position plays an essential role in ensuring drivers, tanker trucks, and deliveries are scheduled efficiently while maintaining clear communication with terminals, asphalt plants, customers, and company personnel.

POSITION SUMMARY

The Fleet Dispatcher plans, schedules, and coordinates company-owned and contracted tanker trucks transporting liquid asphalt cement. This position communicates regularly with drivers, terminals, asphalt plants, customers, and company personnel to coordinate loading appointments, delivery schedules, equipment availability, and route requirements.

The Fleet Dispatcher monitors active loads, adjusts schedules when conditions change, maintains accurate transportation records, and helps ensure compliance with company policies and applicable Department of Transportation regulations.

Success in this role requires excellent communication, strong attention to detail, sound judgment, and the ability to manage multiple drivers, deliveries, and changing priorities in a fast-paced environment.

JOB DUTIES & REQUIREMENTS

Dispatch and Transportation Coordination

• Plan, schedule, and dispatch drivers and tanker trucks for the transportation of liquid asphalt cement and related products.
• Coordinate pickup appointments with terminals and delivery schedules with asphalt plants and customers.
• Assign drivers and equipment based on product requirements, equipment availability, destination, route, driver qualifications, hours of service, and customer priorities.
• Monitor active loads from dispatch through delivery and confirm established schedules are maintained.
• Maintain an accurate list of available drivers, tractors, trailers, and outside transportation resources.
• Record pickup locations, destinations, product information, departure times, delivery times, and estimated return times.
• Monitor driver and truck status and investigate delayed or overdue deliveries.
• Communicate route changes, terminal delays, plant interruptions, weather concerns, and other operational issues promptly.
• Coordinate replacement equipment or adjust driver assignments when breakdowns or scheduling conflicts occur.
• Schedule qualified outside carriers when additional transportation capacity is needed.
• Provide drivers with load information, delivery instructions, required paperwork, keys, credentials, and personal protective equipment as appropriate.
• Assist other dispatch personnel and perform additional operational duties as needed.

Communication and Customer Service

• Maintain regular communication with drivers, terminal personnel, plant managers, production teams, customers, maintenance personnel, and company leadership.
• Confirm daily and upcoming liquid AC transportation requirements with plants and customers.
• Respond promptly to schedule changes and communicate updated information to affected parties.
• Provide professional and responsive service to internal and external customers.
• Help resolve delivery, loading, equipment, and scheduling issues safely and efficiently.
• Provide clear instructions through telephone, two-way radio, FleetWatcher, or other available communication systems.
• Build and maintain productive working relationships with drivers, customers, outside carriers, and company teams.

Safety, Compliance, and Documentation

• Dispatch drivers and equipment in accordance with company safety policies and applicable federal, state, and local transportation requirements.
• Track drivers’ hours of service and monitor electronic or written logs for DOT compliance.
• Review and maintain driver logs, daily vehicle inspection reports, bills of lading, delivery tickets, and other required transportation records.
• Confirm assigned drivers and equipment meet applicable requirements for each load.
• Help ensure drivers follow terminal, plant, customer, and company safety procedures.
• Review, approve, and properly code timecards, fuel tickets, freight documents, and delivery tickets.
• Maintain accurate and organized dispatch, equipment, driver, and delivery records.
• Immediately communicate accidents, spills, equipment failures, safety concerns, or delivery incidents to the appropriate company personnel.
• Promote a culture of safety, accountability, and regulatory compliance.

KNOWLEDGE, SKILLS & ABILITIES

• Strong organizational, scheduling, and problem-solving skills.
• Excellent verbal and written communication skills.
• Ability to coordinate multiple drivers, loads, delivery locations, and priorities simultaneously.
• Ability to remain calm and make sound decisions in a time-sensitive environment.
• Working knowledge of commercial trucking, tanker operations, routing, and DOT requirements.
• Understanding of drivers’ hours-of-service requirements and transportation documentation.
• Ability to communicate effectively and professionally with drivers, terminals, plant personnel, customers, outside carriers, and company employees.
• Basic proficiency with computers, email, spreadsheets, and electronic recordkeeping systems.
• Experience with HCSS HeavyJob, HCSS Equipment360, FleetWatcher, electronic logging systems, or similar platforms is preferred.
• Ability to understand and follow written and verbal instructions, safety requirements, warning signs, equipment procedures, and company policies.

QUALIFICATIONS

• High school diploma or GED required.
• One to three years of dispatching, trucking, logistics, transportation, or related experience preferred.
• An equivalent combination of education, training, and experience will be considered.
• Experience dispatching tanker trucks or coordinating liquid asphalt, petroleum, bulk-liquid, or similar transportation is preferred.
• Familiarity with asphalt terminals, asphalt plants, and liquid AC products is a plus.
• Valid driver’s license and an acceptable driving record required.
• Must be able to travel between company facilities, terminals, plants, and customer locations when needed.
• Must satisfy applicable pre-employment requirements, including a drug screen.

PHYSICAL ACTIVITY & WORK ENVIRONMENT

• Regularly sit, stand, walk, speak, hear, and use a computer, telephone, radio, and other office equipment.
• Occasionally lift or carry materials and supplies weighing up to 25 pounds.
• Work primarily in an office or dispatch environment, with occasional exposure to terminals, asphalt plants, trucking yards, moving equipment, traffic, noise, fumes, weather, and hot materials.
• Wear required personal protective equipment when entering operational areas.
• Maintain regular and reliable attendance.
• Work productively and complete assignments within established deadlines.
• Work during normal operating hours and be available for early mornings, extended hours, overtime, nights, or weekends as transportation needs require.
• Report to different company, terminal, plant, or customer locations when needed.
• Perform all duties safely, effectively, and in accordance with company policies.
