Position: Activities Director
FLSA Status: Exempt, 12 month employee
Reports to: Assistant Principal of Family and Student Life (Direct relationship with principals)
Purpose: Plan, direct and review the activities and operations of K-12 student activities, including but not limited to: field trips, community events, school functions, etc.
Major Duties and Responsibilities
- Plan on/off campus field trips for K-12
- Plan on/off campus community service trips for K-12
- Coordinate field trip logistics: location, buses, cost submission, invoice payment, and chaperone fees
- Collaborate with administration on special events such as bridging ceremonies, field day, teacher appreciation, etc.
- Collaborate with SED to organize school-wide events such as Boo Bash, awards ceremonies, Community Carnival, etc.
- Assist chief of staff with staff events: meetings, teacher appreciation, workdays, lunches, etc.
- Coordinate master calendar and facility use calendar.
- Attend student and staff events, including traveling with students to field trips (day-only) and some overnight trips if desired.
- Work with business office to obtain contracts, purchase orders, etc.
- Collaborate with communications director to produce social media reminders and posts on events, trips, etc.
- Coordinate with other departments to schedule trips, events, etc.
- Work with admin to set activity dues.
- Plan grade-level meetings to discuss field trips.
- Coordinate with transportation department to schedule buses.
- Perform any other assigned duties.

- Possess extensive knowledge of grammar, spelling, punctuation.
- Possess extensive knowledge of modern office practices and procedures.
- Have general knowledge of office rules, regulations, procedures, and functions of the assigned office.
- Deal with people tactfully and effectively, using judgment and discretion when managing confidential information.
- Work independently on assignments based upon general outlines or directions.
- Type material at an average speed and handle difficult dictation.
- Communicate effectively orally and in writing.
- Reason and make judgments; maintain effective working relationships with others.
- Utilize positive human relations skills with all staff.
- Keyboard proficient at required speed.
- Operate computer applications: word processing, spreadsheet, desktop publishing.
- Knowledge of office practices and procedures.
- Compile and summarise information.
- Resolve problems with sound judgment.
- Exhibit proper telephone etiquette.
- Maintain confidentiality regarding school system matters.
- Show independent judgment and initiative in completing work assignments.
- Know business letter writing and memos.
- Compose correspondence independently.
- Operate without direct supervision.
- Establish and maintain cooperative relationships with contacts in the course of work.
Other Responsibilities
Perform related work as required. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment.
Desired Training and Experience
- High school diploma
- Preferred: Degree in communications, advertising, or marketing
- Experience in secretarial functions, public relations, or event planning.

Minimum Qualifications or Standards Required to Perform Essential Job Functions
Physical Requirements: Provide the ability to exert up to 10 pounds occasionally and up to 20 pounds frequently to move objects.
Interpersonal Communication: Speak and/or signal people to convey or exchange information, giving instructions to parents, students, and staff.
Intelligence: Apply common sense to follow written, oral, or diagrammatic instructions.
Verbal Aptitude: Record and deliver information, explain procedures, and follow written and oral instructions in Standard English.
Numerical Aptitude: Add, subtract, multiply, and divide.
Motor Coordination: Coordinate eyes and hands for keyboard use.
Interpersonal Temperament: Adapt to perform under minimal to moderate stress.
Physical Communication: Talk, write, and hear.
Assessment: Performance will be assessed annually per Board's policy on assessment of administrative personnel.
Terms of Employment: Salary and work year as established by the School.
