The Mission of Peace At Any Pace (PAAP) is to offer healing opportunities through culturally specific journeys, genealogical mapping, storytelling, drumming and mindful awareness to multigenerational people of the African diaspora who suffer from the impact of intergenerational and ancestral traumas. PAAP facilitates national and international classes, retreats and sojourns to bridge ancestral histories to present day experiences, transforming wounds to wisdom, leading to deep time liberation. We are seeking to hire a part time Executive Director for the following position and duties. JOB SUMMARY Reporting to the Board of Directors (BOD), the Executive Director (ED) represents Peace At Any Pace, Inc. (PAAP) to the public, leads organizational development and strategic planning, optimizes financial performance, oversees program delivery, builds donor relationships, oversees personnel [which includes part-time staff and interns],and maintains supportive relationships with contractors, facilitators, and on-site retreat centers. The successful candidate will have demonstrated leadership and management skills as well as an ability to multi-task, work independently and collaboratively, and creatively problem solve. In addition, they will enthusiastically take initiative, be dynamic, flexible, and organized. RESPONSIBILITIES AND DUTIES Assumes all management responsibility of programs, including but not limited to all aspects of coordinating, along with the administrative assistant, each PAAP program from inception to launch. Participates in developing and implementing PAAP's goals, objectives, policies and procedures, in conjunction with the Board of Directors and regulatory agencies, eg; IRS, Payroll taxes.. Conducts ongoing assessment and evaluation of program operational efficiencies, including identifying and reporting on any immediate or long-term improvements needed for successful delivery. Cultivates strong relationships and open dialogue with the Board of Directors; effectively communicates and provides information and data to the Board for timely decision making. Orients new Board Members. Advocates and generates visibility and support for the mission, vision and goals of PAAP for its long-term sustainability. Builds strategic partnerships with organizations that can enhance PAAP’s impact in the broader community in which it serves. Explores collaborative efforts to leverage PAAP’s costs, profit, visibility, and resourcing benefits. Builds and cultivates an engaged community of program participants. Administration and Operations Ensures the organization is compliant with all applicable laws that govern a non-profit organizational entity. Manages administrative and operational functions of the organization, including regular staff interactions through Notion software. Develops and implements operational plans and objectives, quality standards, policies and procedures, and management systems. Maintains appropriate staffing structures for current operations and for the organization’s growth. Oversees recruiting, development, evaluation and retention of staff. Manages all risk strategies for onsite, on-line or offsite programming and events. Oversees timely completion of all required reports to the Board of Directors to local, state and federal government agencies and funding agencies to remain in compliance with funding requirements. Establishes and maintains high ethical and quality standards and accountability for program performance while managing potential operational risks. Oversees all advertising, promotions, social media and website development. Conducts outreach and promotion to reach objectives of increasing program participation. Oversee development of marketing materials, newsletters and social media content, including website revisions. Strategic Planning / System Analysis Leads the process and development of internal strategic initiatives by implementing SMARTIE (Strategic, Measurable, Attainable, Realistic, Time-bound, Inclusive and Equitable) goals for staff. Evaluates best practices for transforming internal structures to meet set goals. Fundraising and Partnership Development Develops diverse funding streams and long-term foundation relationships to satisfy budgetary requirements. In collaboration with the BOD and Development Consultant, ED will manage all fundraising initiatives set forth by the Strategic Plan. Cultivate partnership relationships with prospective donors, foundations and other grant possibilities. Oversee operational requirements once donations are received, including reporting of fund usage and expenditures. In collaboration with the BOD, find companies and organizations who align with the mission and vision of PAAP for potential partnership opportunities. In collaboration with the Executive Committee and Board Officers establishes annual Board fundraising goals. Financial Management – (These duties and responsibilities to be shared with the outside accounting / bookkeeping company) Ensures optimal financial health and long-term viability of Peace At Any Pace, Inc. Maintains all processes for proper record keeping and internal financial controls. In collaboration with the Treasurer, the Finance Committee and staff, prepare and propose an annual budget for Board approval every November. Prepares quarterly and annual reporting of financial statements to the Board of Directors, including any budget variances in real time that may need adjustments to maintain the organization’s financial health. Comply with all Federal, State, Local and Payroll regulations, including but not limited to reports to assist in tax preparation and year-end compliance reporting. Manage all risk management requirements, including accessing general liability limits with the insurance Broker and Finance Committee. Manage all banking relationships. Experience 5-7 years of experience in non-profit organizations strong leadership skills; managing staff and projects Knowledge of the history of African American legacies. Have a capacity to manage the budget for $500K+ organization Strategic Analysis and Plans for future growth KNOWLEDGE AND SKILL REQUIREMENTS Completion of a four year college BA degree from an American accredited university or college. Applicants should describe their academic areas of focus and any relevant projects, training, or internships. African American history, genealogy, storytelling, trauma therapy, spirituality & religion, and/or psychology subject matter areas are preferred MBA from an American accredited graduate school or equivalent experience is a plus.
