The Client Service Representative serves as the first point of contact for our clients and referring veterinarians. This role is essential in creating a welcoming, compassionate, and professional experience while ensuring efficient communication and workflow throughout the hospital. The ideal candidate thrives in a fast-paced emergency and specialty environment, demonstrates excellent communication skills, and remains calm under pressure while providing outstanding customer service. Key Responsibilities
- Welcome clients and patients with professionalism, empathy, and compassion
- Answer and direct incoming phone calls using a multi-line phone system
- Schedule appointments, consultations, diagnostics, and procedures accurately
- Efficiently check patients in and out
- Review treatment estimates, invoices, and payment options with clients
- Process payments and maintain financial accuracy
- Assist with emergency patient arrivals and urgent client needs
- Maintain complete and accurate medical and client records
- Communicate effectively with doctors, technicians, and referring veterinary hospitals
- Support a positive, collaborative team environment while delivering exceptional client service
- Minimum 3 years of experience as a Veterinary Client Service Representative
- Experience working in a veterinary hospital setting
- Outstanding customer service and communication skills
- Ability to remain calm, organized, and compassionate in emergency situations
- Strong multitasking, problem-solving, and organizational skills
- Ability to work independently and as part of a collaborative team
- Previous experience in an Emergency and Specialty Veterinary Hospital
- Experience managing high call volumes and busy reception environments
- Working knowledge of ezyVet and/or VetRadar
- Knowledge of veterinary terminology and specialty services
