Position Overview

We are seeking a hands-on, resident On-Site Property Manager to oversee daily condominium operations, serve as program/project manager across the complex, manage a dynamic vacation rental program and administer the financials for both the owner and rental programs. In this multi-faceted role, you are the primary face of the community—ensuring guest satisfaction, protecting owner investments, and maintaining strict oversight of their campus with its unfettered beach access and resort-style amenities. Contract will be subject to annual manager appraisal and review to ensure dynamic program meets both the Association Board and Manager expectations, as well as enabling associated contract agreement updates.

Ø   Utilities and basic maintenance of the suite are also covered.

• Bonus Potential: Performance-based incentives tied to rental program revenue and unit occupancy rates.

Key Responsibilities

1. HOA & Association Management

• Administer day-to-day operations of the condominium community in accordance with governing documents and Florida laws.
• Oversee collection of monthly HOA dues and special assessments.
• Coordinate with the HOA Board to prepare annual budgets, manage operational expenses, and maintain reserve funds.
• Enforce community rules, regulations, and bylaws fairly and consistently among residents and guests.
• Ensure complex compliance with local and state vacation rental regulations (such as Volusia County and State of Florida sales taxes).

 

2. Guest Relations & Rental Management

• Manage on-site rental office, handling guest check-ins, check-outs, and inquiries.
• Maximize rental occupancy and optimize revenue for participating condo owners.
• Manage reservation software and process bookings, payments, and deposits accurately.
• Ensure all guest communications—from pre-arrival information to after-hours emergency responses—are handled promptly and professionally.
• Provide top-tier local recommendations and hospitality to guarantee return visits.

 

3. Maintenance & Vendor Coordination

• Supervise on-site maintenance staff, housekeepers, and office personnel.
• Coordinate with third-party vendors (landscapers, pool services, contractors) to ensure routine upkeep, emergency repairs and renovation projects.
• Coordinate program and project management for large scale projects across the campus in coordination with the HOA Board.
• Ensure common areas (pools, walkways, cabana) are clean, safe, and fully operational.
• Implement hurricane readiness and property security protocols.
• Perform daily property inspections and address maintenance issues promptly to minimize downtime.

 

4. Financial Management

· Monitor and maintain annual budget and reserve structures/allocations in conjunction with both the HOA and Rental Corporation boards.

• Provide recommendations regarding budget and reserve distribution.
• Maintain on-line bookkeeping for both the HOA and Rental Corporation.
• Properly assign and account for cost factors within the Rental Corporation.
• Work with retained independent accounting firm to ensure tax preparation and audit readiness.

 

5. Management and Leadership

• Actively manage workforce planning, hiring and staffing.
• Completely engage in and manage staff training, development and growth.
• Provide direction, guidance and encouragement for all team members, leading by example.
• Quickly and professionally provide exceptional conflict resolution for employees and guests.

Ø On-campus situations occurring outside normal business hours may require personal intercession as necessary to best judge and execute resolution actions.

• Keep HOA Board fully abreast of staffing needs, team member employment status, and personnel changes.
• Work with the HOA Board to perform yearly performance appraisals on all employees.
• Work with the HOA Board to ensure appropriate workforce funding to meet the organization’s mission and goals.

 

Qualifications & Requirements

• Licensing: Active Florida Community Association Manager (CAM) license required (as mandated by FL law for managing vacation rentals).
• Experience: 2–3 years of property management experience, with a focus on HOA administration and hospitality/vacation rentals.
• Skills: Strong proficiency in property management software (Streamline), Microsoft Office, and basic accounting/bookkeeping (QuickBooks Online).
• Soft Skills: High grace-under-pressure with a customer-first mentality.
• Flexibility: Must be willing to work weekends, holidays, and be on-call for after-hours emergency guest needs.
• Background: Must pass a background check and drug screening.
