Job Description Summary
The Security Supervisor leads the day-to-day operations of a team of Security Specialists supporting one or more customers, contracts, and/or government agencies. This role is accountable for team performance, workload distribution, quality control, candidate experience, compliance, training, and timely completion of security processing activities. The Supervisor ensures the team effectively uses the U.S. government Electronic Application (eAPP) system and other required systems to initiate, monitor, review, and submit investigative documentation for Federal security, suitability, fitness, and credentialing purposes.
The Security Supervisor serves as the primary escalation point for complex candidate issues and coordinates closely with Recruiting, Credentialing, Human Resources, program leadership, government customers, and prime contractors. The role maintains visibility into team capacity, service levels, aging work, quality trends, and contractual requirements while providing coaching and direction to Security Specialists. Team Leadership and Supervision
Supervises, directs, and supports a team of Security Specialists responsible for candidate security processing and engagement.
Assigns new candidates and redistributes workloads based on volume, urgency, contract requirements, individual capacity, and service-level commitments.
Establishes daily and weekly priorities, monitors queues and aging items, and ensures required candidate actions and submissions are completed on time.
Conducts regular one-on-one meetings, team huddles, coaching sessions, and performance discussions.
Sets clear performance expectations; monitors productivity, quality, timeliness, responsiveness, attendance, and adherence to standard operating procedures.
Provides timely recognition, coaching, corrective feedback, and development plans in coordination with department leadership and Human Resources.
Participates in interviewing, selection, onboarding, training, and development of Security Specialists.
Ensures adequate coverage, cross-training, and continuity of operations during absences, volume surges, and changing customer priorities.
Promotes a professional, accountable, collaborative, and candidate-focused team culture.
Security Processing Oversight
Ensures required Background Investigation (BI) forms, instructions, and related documents are provided to candidates within established timelines, including within 24 hours of assignment when required.
Ensures candidates receive eAPP and fingerprint instructions within contractual or departmental timelines, including within seven days of receipt of completed BI forms when applicable.
Oversees team monitoring of BI forms, eAPP submissions, fingerprints, and contract-specific security requirements.
Reviews complex, high-risk, or escalated BI packages and performs or validates QC 1 and QC 2 reviews before submission to the government agency or prime customer.
Approves completed security packages for submission or routes them to the appropriate leader based on established approval authority.
Ensures candidate status, activities, communications, and documentation are accurately and promptly recorded in the applicant tracking system, operational trackers, and other required systems.
Monitors compliance with privacy, information security, records-handling, Federal, customer, contractual, and company requirements.
Identifies recurring defects, bottlenecks, and process risks; implements corrective actions and communicates material concerns to department leadership.
Candidate Engagement and Escalation Management
Ensures Security Specialists maintain consistent candidate contact through phone, email, text, and virtual assistance from assignment through completion of the security process.
Monitors candidate engagement standards, including timely completion goals for BI forms and eAPP submissions.
Serves as the escalation point for unresponsive candidates, negative or derogatory disclosures, processing barriers, customer concerns, and conditions that may affect employability or assignment readiness.
Provides guidance to Security Specialists on appropriate candidate communications while maintaining professionalism, confidentiality, neutrality, and compliance.
Coordinates with Recruiters and Credentialing Specialists to maintain shared visibility into status, risks, dependencies, and next steps.
Ensures candidates are treated professionally, receive accurate information, and understand their responsibilities and current processing status.
Training, Quality, and Process Improvement
Develops, maintains, and delivers onboarding, refresher, and process-specific training for Security Specialists and internal partners.
Leads or assigns Security Department Right Start training for new hires and presents Security Process Overview sessions to internal departments as needed.
Conducts routine quality reviews and audits of case files, communications, trackers, and submissions; documents findings and follows through on remediation.
Maintains standard operating procedures, job aids, templates, and quality checklists to support consistent execution.
Analyzes quality, timeliness, productivity, candidate engagement, and aging trends; recommends changes that improve efficiency and candidate experience.
Partners with department leadership on system enhancements, workflow improvements, reporting, and implementation of new customer requirements.
Reporting and Stakeholder Coordination
Prepares and communicates regular team performance reports, workload summaries, aging reports, quality results, risk items, and customer-specific status updates.
Maintains awareness of individual and team capacity and escalates resource constraints, compliance concerns, and service-level risks promptly.
Builds effective working relationships with Recruiting, Credentialing, Operations, Human Resources, Information Technology, customers, and prime contractors.
Represents the Security team in operational meetings and communicates changes in policy, procedure, priorities, and customer requirements to team members.
Keeps department leadership informed of significant candidate issues, trends, operational challenges, and recommended actions. Performance Measurements
Team workloads are balanced and customer or contractual service levels are consistently achieved.
Required security records are current, complete, accurate, auditable, and maintained in accordance with company policy.
Security activities comply with established company policies, Federal requirements, agency guidance, and customer obligations.
QC accuracy, submission quality, processing timeliness, candidate responsiveness, and aging results meet established expectations.
Individual performance concerns are identified early and addressed through documented coaching, training, or corrective action as appropriate.
Candidates receive professional, timely, consistent communication and are kept informed of their security-processing status.
Training materials, procedures, and team knowledge remain current as systems and requirements change.
Leadership and internal partners receive accurate, actionable information regarding team performance, candidate status, risks, and escalations.
Education and Experience
High school diploma or equivalent required; associate or bachelor's degree in Business Administration, Human Resources, Criminal Justice, Security Management, or a related field preferred.
Three or more years of experience in security processing, background investigations, credentialing, compliance, government contracting, or a related operational function preferred.
At least one year of demonstrated leadership, team lead, supervisory, training, quality assurance, or workload-management experience preferred.
Equivalent combinations of education, relevant experience, and demonstrated capability may be considered.
Preferred Requirements
Experience supervising or leading employees in a production, compliance, credentialing, recruiting, or security-processing environment.
Familiarity with security requirements applicable to Department of Defense and/or Department of Homeland Security contractors.
Experience with eAPP, Federal investigative forms, fingerprinting workflows, applicant tracking systems, and government or prime-contractor submissions.
Military, Federal law-enforcement, government-contracting, or related experience preferred, including military-spouse experience.
Knowledge/Skills/Abilities (KSA)
Strong workload planning, prioritization, delegation, decision-making, and escalation-management skills.
Ability to interpret and apply detailed Federal, contractual, customer, and company requirements consistently.
