Job Summary:

The Crane Fleet Administrator provides administrative and operational support for TAKKION's crane fleet and office activities. This position is responsible for maintaining accurate dispatch and transportation records, creating and updating loads, supporting crane job billing, managing required transportation systems, and maintaining operational spreadsheets, and assisting with general office administration. The role works closely with crane operations, transportation, accounting, and field personnel to ensure crane jobs and equipment movements are accurately documented, tracked, and billed.

Responsibilities/Essential Functions:

• Create load numbers and maintain accurate load information in Transport Pro.
• Update and maintain dispatch sheets to accurately reflect crane assignments, equipment movements, schedules, and job status.
• Bill out completed crane jobs accurately and in a timely manner.
• Works closely with the Transportation Services Brokerage Department in support of crane mobilization and demobilization. 
• Review dispatch information, load records, job documentation, and other supporting information for completeness prior to billing.
• Identify and assist with resolving missing information or discrepancies that could delay billing.
• Maintain and update crane fleet and transportation information in Transport Pro, RMIS, and Truckstop.
• Assist with transportation and carrier-related administrative activities within RMIS, Bluewire, and Truckstop.
• Track crane, crane component, and related equipment movements between job sites, yards, vendors, and other locations.
• Create, maintain, and update Excel spreadsheets and other tracking tools used to manage crane fleet activities.
• Track information such as crane assignments, equipment movements, load activity, job status, and billing status.
• Review spreadsheets, dispatch sheets, and system records to identify missing, outdated, or inconsistent information.
• Maintain accurate and organized electronic records and supporting documentation.
• Coordinate with Crane Operations, Transportation, Accounting, drivers, and field personnel to obtain necessary information and resolve discrepancies.
• Prepare basic reports, summaries, and tracking information as requested.
• Answer and route incoming phone calls and assist with general inquiries.
• Order and maintain office supplies.
• Receive, sort, distribute, and prepare incoming and outgoing mail and packages.
• Assist with coordinating office deliveries, service requests, and basic vendor communications.
• Provide general administrative support.
• Perform other duties and special projects as assigned.

Education & Experience Requirements:

• High school diploma or GED required.
• Previous administrative experience in transportation, logistics, dispatch, fleet operations, construction, heavy equipment, billing, or a related environment preferred.
• Experience with Transport Pro, RMIS, Truckstop, or similar transportation management systems preferred.
• Proficiency with Microsoft Excel and experience maintaining spreadsheets and tracking information.
• Strong computer skills with the ability to learn new software and internal systems.
• Strong attention to detail with a high level of data-entry accuracy.
• Strong organizational and time-management skills.
• Ability to prioritize multiple tasks and manage time-sensitive requests.
• Effective written and verbal communication skills.
• Ability to work independently while effectively coordinating with multiple departments and team members.

Work Environment/Physical Requirements:

This position primarily operates in a professional office environment. Team members will be required to adhere to all safety requirements in all work environments.

• Regular use of a computer, telephone, and other standard office equipment is required.
• Requires prolonged periods of sitting and working at a computer.
• Must be able to communicate effectively by phone, email, and other electronic communication methods.
• Must be able to perform repetitive data entry and other computer-based administrative tasks.
• Ability to occasionally lift and/or move office materials weighing up to 20 pounds.
• Must be able to work effectively in a fast-paced environment where operational priorities and schedules may change.
