Job Description Job Description We are seeking a professional, organized, and dependable Front Desk / Administrative Assistant to support our Residential Department. This position serves as the first point of contact for clients and plays a critical role in keeping daily office operations running smoothly. This is a fast-paced, hands-on role best suited for someone with prior experience working in a construction office environment. Experience in the glass or metal industry is a plus. Requirements Prior experience working in a construction office environment required Basic to intermediate proficiency in Microsoft Word, Excel, and Outlook Strong communication and customer service skills English required; Spanish is a strong plus Highly organized, detail-oriented, and dependable Ability to multitask and work efficiently in a fast-paced environment Positive attitude and team-player mindset Ability to occasionally lift up to 50 lbs Experience in construction, glass, or metal industries preferred Key Responsibilities Client Communication & Front Desk Operations Answer and professionally direct incoming phone calls Greet and assist walk-in clients with professionalism and courtesy Handle general inquiries from clients, vendors, and partners Follow up with customers via phone and email regarding ongoing projects and communications Scheduling & Coordination Coordinate appointments for measurements, installations, and service calls Maintain and update the Residential Team’s live schedule daily Confirm appointments and communicate schedule changes with clients and team members Administrative Support Save, track, and file proposals accurately in company systems Enter vendor invoices, appointments, and project information into company software Support day-to-day office and administrative tasks Payments & Recordkeeping Process customer payments including credit cards and checks Maintain accurate payment records and logs Create and submit purchase orders (POs) to vendors Track open purchase orders and follow up as needed Warehouse & Materials Support Assist with ordering materials for upcoming projects Help receive deliveries and verify incoming orders Assist with warehouse organization and material management What We’re Looking For The ideal candidate is: Professional and customer-service driven Comfortable working in a busy construction office Able to manage multiple tasks and deadlines simultaneously Detail-oriented with strong follow-through A proactive team member willing to assist where needed Benefits Competitive pay based on experience Opportunities for growth and advancement Supportive team environment Paid time off and benefits package available If you have construction office experience and enjoy working in a fast-paced, team-oriented environment, we’d love to hear from you.
