Supply Chain Management Distribution Center Operations Specialist

The Supply Chain Management (SCM) Distribution Center (DC) Operations Specialist receives, distributes, restocks, cycle-counts, while performing additional primary and secondary Supply Chain tasks as assigned, when providing the highest level of professional customer service to internal customers across the Health First Integrated Delivery Network (IDN). The SCM DC Operations Specialist assists assigned departments to achieve product standardization, optimum inventory levels and reduction of operating expenses, efficiently and in a cost-effective manner. The SCM DC Operations Specialist provides world class quality, competitive value, and outstanding service through effective materials management of programs in supply logistics, inventory management, computer support, and supply channel management to clinical departments.

Primary Accountabilities

1. Receives incoming freight and put away accordingly, scans packing slips to PO, while overseeing warehouse re-stock, inventory, and cycle-count and transport supplies to appropriate locations. Audits and verifies transactions while informing leadership of exceptions, while rotating stock as prescribed and monitor for expired items
2. Develops and implements inventory control procedures for optimal accuracy, maintaining a high level of accuracy in the DO ensuring all material is placed into proper location, correct quantities, material rotation is applied, and items are pulled to fill customer orders. Ensures cycle count methods are exercised to comply with quality control guidelines and evaluated by number of errors.
3. Reduces inventory loss attributed to damage or obsolescence, performs warehouse maintenance of assigned aisles to ensure accuracy and cleanliness, and removes of all excess supplies and debris. Complies with dated item policies and procedures, ensure quarantined items are stored, and perform cycle counts for accuracy.
4. Maintains policies, procedures and guidelines from The Joint Commission (TJC) and Agency for Health Care Administration (AHCA), related to ordering, receiving, unpacking, delivery of authorized medications and supplies to patient care and ancillary areas according to delivery schedules. Maintains housekeeping requirements cleaning shared areas and organize department after daily operations and monitor and record temperature/humidity conditions.
5. Ensures compliance with Restricted Prescription Drug Distributor requirements as defined by The Florida Drug and Cosmetic Act, Chapter 499, and Florida Statues, including Rx Drug distribution policies and procedures, defined by Chapter 499, Florida Pedigree Law. Receive, store, inventory, distribute dispose, maintain records, and process recalls/withdrawals in accordance with applicable statues.
6. Verifies safety by conducting daily vehicle inspections and perform minor maintenance as needed when utilizing vehicles for pickups and deliveries to supported customers and organizations. Safely utilizes pallet jacks, hand trucks, furniture dollies and other moving equipment. Operates various large materials handling vehicles including sit down forklift, reach truck, riding floor sweeper/scrubber, and order picker to support Distribution Center operations in 78,000 square feet facility.
7. Handles, transports, and temporary stores packaged medication items (i.e., boxed items, bulk packages, associate prescription bags). Manages, safely stores, and transports medication packages from one secure location to another secure location within the organization.
8. Obtains, stores, pulls, and delivers departmental and medical records in accordance with established procedures, utilizing PeopleSoft Warehouse Management System to establish inventory, assign warehouse locations, pull files from inventory, and receive receipt signatures for delivered files, and assigns file destruction dates in accordance with Health First Records
9. Becomes familiar stays abreast with record management policy, procedures, and laws to ensure compliance with Management Policy and Procedure; properly and accurately select and pull files for destruction.
10. Performs advanced work assignments and other duties as directed by the Distribution leadership in accomplishing daily activities including accomplishing work assignments and ensuring uninterrupted customer service.

Work Experience

Minimum Qualifications

• Education: High School Diploma or equivalent.
• Work Experience: One (1) month prior work experience.
• Licensure: Driver's License and clean Motor Vehicle Record (MVR) and maintained.
• Certification: None
• Skills/Knowledge/Abilities:

1. Basic Computer Skills to perform business activities (E-mail, correspondence, etc.)., and Handheld Terminals, and Office Automation software related to role.
2. Operate and support PeopleSoft and essential IT operations and improvements including downtime strategy and data entry.
3. Accept close supervision, work quietly and efficiently, and freely accept constructive feedback concerning job performance without resentment.
4. Perform basic mathematical calculations.
5. Ability to actively participate in the department's continuous quality improvement (CQI) activities pertaining to inventory management responsibilities.
6. Communication skills, both verbal and written.
7. Respond quickly to customer concerns regarding availability/status of supply orders.
8. Handle constant interruptions with poise and professionalism.
9. Work effectively with all levels of management and Associates.

Preferred Qualifications

• Education: Associate's degree in Business Administration, or a relevant field.
• Work Experience: Five (5) years' healthcare experience involving selection, procurement, distribution, or inventory control of medical and surgical supplies.
• Skills/Knowledge/Abilities: Knowledge of warehousing and inventory management MMIS systems.

Physical Requirements

• Physically agile; may require walking, standing, running, bending, stooping, kneeling, climbing, or crouching frequently.
• May occasionally include lifting or moving objects up to 50 pounds, with or without assistance.
• May require moving in different positions to accomplish tasks in various environments including tight and confined spaces, including reaching out and above shoulders, or overhead.
• May lift, turn, pull, push, or ambulate people and/or equipment with or without assistance up to 90% of the assigned shift.
• May be exposed to inside and outside environments with varied temperatures, air quality, lighting, and/or low to loud noise.
• May require working with biohazards such as blood/body fluids and airborne particles following OSHA and CDC guidelines.
• Communicating with others to exchange information.
• Visual acuity and hand-eye coordination to perform tasks.
• Workspace may vary from open to confined.
• May require travel to various facilities within and beyond county perimeter; may require use of personal vehicle.
