Advanced Communications and Electronics, Inc., a trusted leader in communications technology across New Mexico, is seeking a detail-oriented and highly organized Accounting Coordinator. This role supports day-to-day accounting operations, vendor and customer account management, accounts payable processing, and key administrative tasks that keep our finance department running smoothly.

Responsibilities

• Vendor Accounts
• Collect W-9s and Certificates of Insurance (COIs) for new vendor accounts
• Request NTTCs when applicable
• Set up new vendor accounts in Fusion
• Review and track COI renewals
• Enter COI information into Fusion vendor profiles
• Update vendor accounts in Fusion as needed
• Monitor vendor statements and request missing invoices

• Vendor Payables
• Collect and save vendor invoices in the accounting folder
• Match vendor invoices with Fusion receiving reports and packing slips
• Enter invoices against purchase orders
• Enter vendor invoices not linked to purchase orders
• Research discrepancies between POs, receiving records, and invoices
• Track due dates to ensure timely vendor payments

• Customer Accounts
• Collect customer business profiles and W-9s
• Request NTTCs when applicable
• Set up new customer accounts and "ship to" locations in Fusion
• Update customer account information as needed
• Upload customer documents into accounting folders or documentation systems

• Accounts Receivable Support (as needed)
• Assist with preparing and sending customer invoices
• Upload invoices to customer portals
• Follow up on missing PO numbers or required documents
• Organize and prepare customer payment documentation

• Company Credit Card Administration
• Manage card authorizations and track usage online
• Collect team member credit card receipts
• Match receipts to monthly credit card statements
• Support month-end reconciliation by organizing backup documentation

• General Accounting Support
• Daily data entry across accounting functions
• Maintain organized digital and physical filing systems
• Assist with bank deposits
• Support month-end close by preparing schedules and gathering documents
• Run basic accounting reports from Fusion for supervisor review
• Assist with internal and external audits by providing documentation

• Fleet Vehicles
• Maintain accurate fleet registration status, emissions compliance, and recalls
• Track and update fleet-related data
• Request fuel cards
• Provide Director of Service vehicle reports at end of year

• Purchasing & Inventory Support (optional/as needed)
• Track open purchase orders
• Assist purchasing with receiving documentation
• Support inventory counts by preparing count sheets or entering results

• Administrative Support
• Assist team members with credit card or accounting documentation questions
• Support front office activities (phones, scanning, mail) as needed
• Help maintain and update internal financial procedures

• End-of-Year Tasks
• Create new-year labels and folders
• Pack up current-year folders into storage boxes
• Move current-year payables to back filing cabinets

Qualifications

• Experience in accounting support, administrative roles, or AP/AR preferred
• Strong attention to detail, accuracy, and organizational skills
• Ability to manage multiple tasks and deadlines
• Proficiency with computer systems; ERP experience (Fusion or similar) is a plus
• Excellent communication skills and ability to work independently or as part of a team
• Problem-solving ability
