Position Title: Membership Sales & Engagement Coordinator

Reports to: Executive Director

Type: Full-time, Exempt

Location: Yuma County (Office Located in City of Yuma)

Compensation & Benefits:

• Salary: DOE, starting at $40,000 annually + performance-based bonuses tied to sales totals.
• Benefits: All paid major holidays, paid office closure during the winter holiday period, two weeks of paid vacation (after one year of employment), and mileage reimbursement (with access to a shared company car). Please note: Health insurance is not currently provided.

Position Overview: The Membership Sales & Engagement Coordinator drives the growth and retention of the Chamber's network. Serving as a primary liaison between the Chamber and the local business community, this role blends proactive sales outreach, relationship management, event support, and administrative oversight. The ideal candidate is an outgoing, detail-oriented professional who is passionate about expanding the Chamber’s impact across Yuma County.

Key Responsibilities:

1. Membership Sales & Revenue Generation (Primary Focus)

• Actively recruit new members through targeted outreach, networking, referrals, and on-site business visits.
• Promote and secure sponsorships and advertising opportunities among new and existing members.
• Serve as the primary point of contact and subject-matter expert for prospective members.
• Track, analyze, and report daily sales activities, outreach contacts, and revenue generation to the Executive Director.

2. Member Services & Retention

• Act as the dedicated liaison for all member inquiries, ensuring high satisfaction and engagement.
• Coordinate and lead new member orientations, managing invitations and attendance tracking.
• Oversee the Ambassador Program in collaboration with the Executive Director, including volunteer scheduling, meeting coordination, and communication.
• Monitor member benefit usage via the ChamberMaster CRM system and provide quarterly status reports to members.
• Conduct regular check-ins with members to ensure their needs are met and to maximize retention rates.
• Distribute member updates, announcements, and official correspondence.
• Assist with the collection of outstanding membership dues and related fees.

3. Marketing & Communication Support

• Maintain and update the new member presentation slideshow for digital and in-person use.
• Coordinate monthly communication rollouts specifically tailored for new members.
• Submit ribbon-cutting announcements to the Yuma Sun for publication in BIZ Magazine and the main newspaper.
• Collaborate with Chamber marketing staff to fulfill member-specific marketing deliverables.

4. CRM & Administrative Management

• Maintain precise and up-to-date member data in ChamberMaster, including check logging, benefit tracking, and referral entries.
• Process and input annual and seasonal passes into the CRM.
• Review, approve, and ensure the timely posting of community calendar event submissions.
• Log and monitor all prospective member inquiries to ensure prompt follow-up.
• Manage the creation and distribution of digital membership surveys.
• Provide administrative support for Board of Directors meetings, including serving as a backup minute-taker as needed.

5. Event & Program Coordination

• Assist in coordinating Chamber events, including all Yuma County ribbon cuttings.
• Manage event invitations and RSVP tracking for Board members and Ambassadors.
• Provide on-site event support (e.g., registration, sponsor check-ins) and capture photography for marketing archives.
• Support event logistics, including raffles and the coordination of gift baskets.

Key Performance Indicators (KPIs):

• Achievement of monthly acquisition targets for new members and sponsorship revenue.
• Accurate, timely data entry and CRM maintenance.
• High member engagement, measured by benefit utilization and positive feedback.
• Active participation and high retention rates within the Ambassador Program.
• Consistent social media presence highlighting new members and Chamber events.

Qualifications:

• Minimum of 2 years of experience in sales, customer service, membership services, or a closely related field.
• Proven track record of meeting sales revenue and engagement targets.
• Exceptional interpersonal, written, and verbal communication skills.
• Strong organizational skills with a keen eye for detail.
• Proficiency with CRM systems or databases, Microsoft Office Suite, Google Workspace, Canva, and major social media platforms.
• Valid driver’s license and reliable transportation required.
• Bilingual (English/Spanish) is preferred.

Work Environment & Physical Requirements:

• Ability to travel locally within Yuma County for member outreach and events.
• Flexibility to work outside standard office hours, including early mornings or evenings for scheduled events.
• Ability to occasionally lift and move event setup materials (20–30 lbs).
• Standard office environment combined with active, on-site community engagement.
