Family Operations Manager

Our client is seeking an experienced Personal Assistant to support a senior executive, working on-site at their home in the South Bay. This role blends some administrative support with hands-on personal and family assistance. Responsibilities include managing the executive's daily schedule, coordinating travel, handling administrative tasks, and providing personal and household support as needed. This is a fully in-home position and requires flexibility, including the ability to drive locally for personal support tasks. Responsibilities Administrative Support Oversee and maintain a highly dynamic and complex calendar, prioritizing business needs and proactively suggesting adjustments to optimize time and efficiency. Coordinate and manage a wide range of internal and external meetings, including video calls and occasional meetings hosted at the home. Arrange and manage detailed domestic and international travel, anticipating logistical needs and ensuring seamless point-to-point coordination. Process and submit expense reports in accordance with internal policies. Provide general administrative support, including mail handling, filing, and ad hoc projects as needed. Personal & Family Support Manage day-to-day household coordination, errands, and family needs, including child-related responsibilities such as school pick-ups and drop-offs when required. Manage the family calendar, including school schedules, reminders, and assignments. Provide support with schoolwork or homework as needed. Serve as the primary point of contact for tutors, coaches, and extracurricular activity providers. Coordinate family travel, including bookings, itineraries, and on-the-ground logistics. Liaise with personal business management and accounting professionals as necessary. Assist with personal reminders, documentation, and general household organization. Help oversee household staff or vendors as needed, ensuring the home runs smoothly day to day. Qualifications Minimum of 1-4 years of experience supporting senior-level executives in a fast-paced environment, ideally with prior experience in a private home or household setting. Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, is preferred. Candidates with a nanny or child care background are encouraged to apply. Comfortable working independently in a private home environment and maintaining strict confidentiality. Flexibility to work outside standard business hours when needed to support global schedules and time-sensitive requests. Prior experience in an administrative or personal assistant role strongly preferred.
