About the Role

We are seeking a detail-oriented, quick-learning Part-Time Administrative Assistant to join our team at a client in the Holly area. This entry-level position is ideal for a proactive professional eager to grow in a fast-paced environment. You will play a vital role in supporting lab operations, handling day-to-day administrative tasks, managing project workflows, and providing top-tier customer service.

Comprehensive training will be provided for technical reporting and internal procedures.

Schedule Options

We offer flexibility with two available weekly working schedule options (20-25 hours total):

• Option A: Monday - Friday | 8:00 AM - 12:00 PM or 1:00 PM - 5:00 PM
• Option B: Monday, Wednesday, & Friday | 8:00 AM - 5:00 PM

Key Responsibilities

• Project & Order Management: Open new jobs, track project progress, maintain internal databases, and ensure all task deadlines are met.
• Customer Relations: Greet office visitors, answer phone calls, address basic customer inquiries, and communicate directly via phone and email.
• Quoting & Invoicing: Generate and follow up on customer quotes, create and send invoices, and handle invoice collection.
• HQ Coordination: Work directly with corporate headquarters to manage incoming/outgoing purchase orders, track bills, and streamline billing.
• Technical Reporting: Draft and compile detailed reports for a variety of technical tests (full training provided).
• Office Support: Assist leadership with continuous improvement and business growth initiatives.

Qualifications

Required:

• High school diploma or equivalent.
• Intermediate proficiency in Microsoft Excel and Microsoft Word.
• Strong written and verbal communication skills (including basic technical writing ability).
• Excellent organizational and time management skills with sharp attention to detail.
• High degree of self-motivation and the ability to troubleshoot and solve problems independently.

Preferred:

• 3+ years of experience in an administrative, receptionist, or customer service role.
• Experience with Data Entry and Accounts Receivable/Payable (or QuickBooks).
• Strong general computer literacy and fast typing skills.
