The mission of Hope the Mission is to prevent, reduce and eliminate poverty, hunger, and homelessness by offering immediate assistance and long-term solutions.

Hope the Mission runs programs that are tied to funder contracts, compliance requirements, and outcome measurements. The data behind those programs is not just paperwork — it is proof that services are being delivered, participants are being helped, and the organization is doing what it promised. The Data Coordinator makes sure that proof is accurate, complete, and reliable.

Working under the Data Manager, the Data Coordinator is responsible for data quality and contract compliance across Hope the Mission's programs. This includes reviewing electronic and physical client files, making sure HMIS records match contract requirements, training program staff, and pulling reports for leadership and funders. This role requires strong HMIS knowledge, attention to detail, and the ability to turn data findings into clear, useful guidance for program teams. Accurate data helps Hope the Mission prove its impact, keep its funding, and improve its services. The Data Coordinator makes all three possible.

Primary Duties and Responsibilities

• Conducts ongoing audits of electronic and physical client files to ensure accuracy, completeness, and alignment with contract requirements
• Reconciles physical file documentation with HMIS records across all program files
• Maintains an internal database tracker of audited files
• Identifies missing or incomplete documents required by contract for each client file
• Develops and updates monitoring checklists that reflect current contract requirements
• Supports program audits, including data entry and file preparation
• Assists leadership in identifying and resolving data errors

• Administers client databases, including report generation, user management, and adherence to HMIS policies and procedures
• Designs and generates regular reports for varied audiences, including staff, board members, donors, and funders
• Performs and analyzes performance-based data as requested by supervisor
• Tracks outcomes and monitors progress against established program goals
• Analyzes programmatic data to identify strengths, gaps, and trends
• Assists with annual updates to performance report technical requirements

• Develops and delivers training programs to build staff capacity in data collection, entry, and analysis
• Provides ongoing technical assistance to program staff to ensure compliance with data requirements
• Facilitates regular meetings with direct service and management staff to review monthly KPIs, audit findings, and data performance

• Develops and implements data collection systems and strategies that improve statistical efficiency and data quality
• Summarizes audit findings and patterns for each program site and communicates results to relevant staff and leadership

• Performs other duties as assigned

Skills

• Experience with Homeless Management Information Systems (HMIS) and/or CHAMP strongly preferred
• Proficiency in Microsoft Office, including Word, Excel, Access, and PowerPoint
• Demonstrated ability to perform accurate and efficient electronic data entry
• Demonstrated ability to handle sensitive participant information with discretion and professionalism
• Strong analytical skills with the ability to interpret data, identify patterns, and translate findings into actionable recommendations
• Creative problem-solving ability with an organization-wide perspective
• Strong written and verbal communication skills, including the ability to present data findings clearly to varied audiences
• Customer service orientation in working with staff at all organizational levels and with external partners
• Highly collaborative with the ability to work effectively within a team environment
• Demonstrated knowledge of the challenges commonly faced by program participants, including issues related to housing instability, health, substance use, and mental health

Qualifications

• Bachelor's degree in psychology, social work, public administration, human services, statistics, or other closely related field preferred
• One year of experience in program evaluation, reporting, or data management preferred
• Working knowledge of and ability to apply confidentiality standards under CMIA, HIPAA, and ADA requirements
• Experience with HMIS, CHAMP or relevant data base system

Mandatory Requirements

• Background Screening – Employment is contingent upon the successful completion of background checks as required per worksite.
• Drug and Alcohol Testing – Candidates must pass pre-employment and ongoing drug and alcohol screenings in accordance with company policy.
• Motor Vehicle Record (MVR) Check – For roles requiring driving, employment is contingent upon an acceptable driving record (meeting criteria of HTM's commercial insurance), a CA drivers license, and proof of vehicle insurance coverage.
• Legal Eligibility to Work – Maintain proof of legal authorization to work in the US.
• Compliance with Company Policies and HIPAA standards – All employees must comply with company policies, including safety, confidentiality, and conduct standards.

Physical, Demands, Environmental Conditions, Equipment

The employee may work in proximity to service animals and emotional support animals; use a desktop and/or laptop computer; various office machines. Complete all required forms in personal writing.

Work Environment

The employee may be in contact with individuals and families in crisis who may be ill, using alcohol and drugs, and who may not be attentive to basic personal hygiene, health and safety practices. The employee may experience a number of unpleasant sensory demands associated with the participants' use of alcohol and drugs, and lack of personal hygiene. The employee must be ready to respond quickly and effectively to many types of situations, including crisis situations and potentially hostile situations. The noise level in the work environment is usually moderate in an office setting. Sometimes work may become stressful when working under pressure or in crisis intervention.
