Facility Service Coordinator

We are seeking a highly organized and customer-focused Facility Service Coordinator to join our team. In this role, you will manage service requests from initiation through completion, coordinate with subcontractors, and provide exceptional communication and support to customers throughout the service process.

The ideal candidate is detail-oriented, thrives in a fast-paced environment, and has strong problem-solving and customer service skills.

Key Responsibilities

Enter and maintain service orders within company systems, ensuring all job details, updates, and notes are accurate and comprehensive.Prepare and submit customer quotations in a timely manner.
Prioritize and coordinate routine, emergency, and scheduled service requests.
Manage work orders from creation to completion, providing regular updates to customers throughout the service process.

Communicate with customers and subcontractors via phone, email, and customer portals to ensure successful service delivery and customer satisfaction.

Dispatch service work to subcontractors while considering pricing, availability, and response times.

Establish scheduling expectations and cost parameters with subcontractors.

Monitor service progress and follow up to ensure work is completed according to customer requirements.

Maintain records of service dates, equipment details, model numbers, and serial numbers when applicable.

Participate in a rotating on-call schedule as required.

Perform additional duties and responsibilities as assigned.

Education & Experience
High school diploma or equivalent required.
Previous customer service experience required.
Experience in dispatching, facilities services, service coordination, maintenance coordination, or a related field is preferred but not required.
