Temporary Scheduling Coordinator -Career Services

Position Overview The Scheduling Coordinator at the Office of Career Services (OCS) coordinates the scheduling and coordination of on‑campus recruitment activities for external employer partners. The role supports a seamless recruitment process for students and employers. Key Responsibilities Coordinate and assist delivery of comprehensive on‑campus recruiting programs and services, managing the scheduling of more than 2,000 interviews and planning over 300 interview schedules per semester with meticulous accuracy. Maintain smooth recruitment experiences for external employers by assisting with job postings, on‑campus recruitment, and other branding activities. Coordinate and assist with delivery of on‑campus recruiting programs, including information sessions, workshops, and webinars. Oversee planning and logistics for 100+ activities, ensuring attention to detail and effective communication with internal and external stakeholders. Utilize critical software tools such as Handshake and Excel to manage records, track schedules, generate reports, and assist students and employers with technical issues. Act as the first‑level welcome reception for external employers, ensuring a positive experience by assisting with setup needs and maintaining communication. Handle accounts payable, purchase orders, career fair payments, and maintain accurate employer documents and records. Process requisitions for office supplies, meals, and marketing materials, and assist with credit card and check payments from employers for all career fairs. Enter payment information into Handshake. Qualifications Minimum: Bachelor’s degree in business administration or related discipline or an equivalent combination of training and experience. Preferred: Bachelor’s degree with at least three years of related office management experience, significant knowledge of office/work unit procedures, methods, and practices, and event management and scheduling experience. Excellent communication skills, attention to detail, ability to work in a fast‑paced environment, highly organized, motivated, and able to handle a high volume of inquiries. Displays problem‑solving and critical thinking skills; able to work independently, manage multiple tasks under pressure, and exhibit warm and friendly behavior. Compensation and Working Hours Pay range: $20 – $25 per hour. 40 hours per week, Monday to Friday 8 a.m. to 5 p.m. (some evening work may be required for various events).
