Sr. Project Manager

Pyxl is a Nashville-based growth agency across B2B & D2C: integrated strategy, paid media, lifecycle, creative, UX/UI, ecommerce, and custom engineering. We are a HubSpot and Klaviyo partner working with clients who expect their agency to move faster, think sharper, and operate smarter than the last one they hired. 2026 is our year of building a stronger, AI-enabled agency, and the Lead Project Manager is central to making that real. This is not a role for someone who wants to babysit task lists. This is a role for a lead operator who wants ownership, influence, and a seat at the table where how we deliver work actually gets decided. The Role We are hiring a Lead Project Manager to own delivery across a mixed portfolio of marketing retainers, ecommerce retainers, website builds, technical and engineering projects, and UX/UI and creative work. You will take scoped engagements from executive sponsors and own the implementation — staffing, timelines, budgets, risk management, and client-facing project communication. You are the day-to-day point of contact for your clients, and the operational partner our creative, strategy, and engineering leads rely on to ship work that is on time, on budget, and on strategy. You will influence the standard for how project management is practiced at Pyxl. That means strong opinions about process, a high bar for documentation and follow-through, and the credibility to influence how the broader operations function evolves. The candidates we want are the ones other PMs learn from. What You'll Own Portfolio delivery. End-to-end ownership of a book of concurrent work spanning marketing retainers, ecommerce retainers, website projects, custom engineering builds, and UX/UI and creative work. In practice, that’s typically 15 to 25 active SOWs at any given time across a smaller number of accounts — multiple workstreams per client, ranging from monthly retainers to six-figure builds. Scope implementation. Take signed SOWs from executive sponsors and turn them into executable plans. Translate scoped deliverables, hours, and milestones into detailed project plans, dependencies, and staffing — and then run them. You are the bridge between the scope that was sold and the work that gets shipped. Budgets and margin. Track hours, burn, and margin weekly across your portfolio. Flag overruns early, elevate scope risk to the executive sponsor with clear data, and protect the P&L on every engagement. Retainer utilization, scope creep, and write-offs are your daily vocabulary. Resourcing and capacity. Staff projects against a mixed team of employees and contractors. Balance utilization, skill fit, and client continuity. Surface capacity risks before they become fire drills. Timelines and risk. Build realistic project plans, identify critical paths, and manage dependencies across disciplines that move at different speeds (paid media sprints differently than engineering, and you know why). Own the risk register and the mitigation plan. Client relationship ownership. You are the day-to-day point of contact for your clients. Run status calls, issue weekly updates, manage expectations, and communicate tradeoffs. Build the kind of trust with clients where they call you first when something changes — because they know you’ll handle it. Process and tooling. Contribute directly to how we run the operational backbone — Asana, Slack, our AI tooling stack, and the workflows that connect them. Improve how we work, document what works, and retire what doesn’t. AI-enabled delivery. Use AI daily to estimate faster, draft documentation, QA deliverables, identify risk, and compress cycle times. Help the rest of the team do the same. This is non-negotiable. Cross-functional influence. Mentor less experienced PMs and coordinators, raise the bar for how delivery is practiced, and bring thoughtful, strategic input to the broader leadership conversation about how Pyxl scales. Who You Are You are a senior agency operator. You have seen how bad delivery looks and how great delivery looks, and you have strong opinions about the difference. You are calm when a project is on fire, direct when a scope is slipping, and diplomatic when a client needs to hear something they don’t want to hear. You can lead a status call with a client CMO at 9am and a sprint planning session with engineers at 11am without any issues. You are AI-forward — not a skeptic, not a bystander. You have built prompts, workflows, and automations that have made your work demonstrably faster or better, and you can point to specific examples. The candidates we hire will have already replaced parts of their own workflow with AI and will be excited to keep going. You think in systems. You spot the pattern behind the one-off problem and fix the system, not the symptom. You document. You measure. You make decisions with data when data exists and with good judgment when it doesn’t. You carry yourself with the maturity of someone who could be trusted with significantly more scope over time. What We're Looking For Required 5+ years of direct agency project management experience within the last 5 years. Demonstrated experience managing a mix of marketing retainers, technical or engineering projects, website builds, and creative or UX/UI work — not just one discipline. Fluency in agency economics: retainer models, hourly billing, managing to scope, utilization, margin, change order triggers, and write-offs. Active, daily use of AI tools in your project management workflow. You can walk us through specific examples of how AI has changed how you work. Experience managing both employees and contractors on the same engagements. Excellent written and verbal communication. You write like you respect the reader’s time. Proficiency in Asana (or comparable tools) and the discipline to keep it trustworthy. Track record of managing 15+ concurrent SOWs or workstreams without dropping the ball. Strongly Preferred Experience managing HubSpot and/or Klaviyo implementations or retainers. Experience delivering custom web and application builds (Next.js, React, Node.js, headless CMS, ecommerce platforms like Shopify or BigCommerce). Experience running ecommerce retainers — paid media, lifecycle, CRO, merchandising — as a coordinated program, not as siloed line items. Prior experience mentoring or developing other PMs or coordinators. PMP, CSM, or equivalent certification — if it reflects how you actually work, not just your resume. What Won’t Work Anti-AI or AI-skeptical stances. Pyxl is an AI-first agency. This is a baseline, not a perk. A preference for managing a single discipline. This role requires fluency across marketing, creative, and engineering. A pure process orientation without business judgment. We need someone who can run a Gantt chart and a P&L.
