Location: Tulsa, OK
Pay: $16$17 per hour
Schedule: Full-Time | 34 days per week | 1012 hour shifts
- Weekends: Saturdays & Sundays (2nd & 3rd shift)
- Weekdays: 3:00 PM 12:00 AM
Veterinary Receptionist Position Summary
The Veterinary Receptionist serves as the first point of contact for clients and their pets, delivering exceptional customer service while supporting the daily operations of the clinic. This role combines client interaction, administrative responsibilities, and coordination with the veterinary team to ensure a smooth and welcoming experience for every visit.
Veterinary Receptionist Key Responsibilities
Client Relations
- Greet clients in a friendly, professional manner
- Answer phone calls, respond to inquiries, and schedule appointments
- Deliver a high level of customer service at all times
Appointment Management
- Coordinate and maintain appointment schedules
- Ensure accurate documentation of client and patient information
- Adjust and manage calendars as needed
Record Keeping
- Maintain accurate, up-to-date client and patient records
- Enter patient history and manage files in compliance with clinic standards
Financial Transactions
- Process invoices and payments accurately
- Provide clear billing information to clients
- Handle confidential financial information with integrity
Client Education
- Share general information about services, procedures, and medications
- Provide post-care instructions and direct questions to appropriate staff when needed
Clinic Operations Support
- Assist with administrative tasks, including filing, mail, and office organization
- Maintain a clean and organized front desk area
- Monitor and restock office supplies
Team Collaboration
- Work closely with veterinarians, technicians, and support staff
- Provide assistance where needed to ensure efficient clinic operations
Professional Development
- Stay current on clinic policies and procedures
- Participate in training and development opportunities
Veterinary Receptionist Qualifications
- High school diploma or equivalent required
- Previous experience in customer service, reception, or administrative roles preferred
- Strong communication skills with professional phone etiquette
- Ability to handle high-pressure situations with professionalism and empathy
- Excellent organizational skills and attention to detail
- Ability to multitask in a fast-paced environment
- Basic computer proficiency; veterinary software experience is a plus
- Familiarity with veterinary terminology is a plus
- Passion for animals and understanding of basic animal care

* Feed, water, and examine pets and other nonfarm animals for signs of illness, disease, or injury in laboratories and animal hospitals and clinics. Clean and disinfect cages and work areas, and sterilize laboratory and surgical equipment. May provide routine postoperative care, administer medication orally or topically, or prepare samples for laboratory examination under the supervision of veterinary or laboratory animal technologists or technicians, veterinarians, or scientists.* Hold or restrain animals during veterinary procedures.
* Monitor animals recovering from surgery and notify veterinarians of any unusual changes or symptoms.
* Fill medication prescriptions.
* Clean and maintain kennels, animal holding areas, examination or operating rooms, or animal loading or unloading facilities to control the spread of disease.
* Examine animals to detect behavioral changes or clinical symptoms that could indicate illness or injury.
* Perform routine laboratory tests or diagnostic tests, such as taking or developing x-rays.
* Assist veterinarians in examining animals to determine the nature of illnesses or injuries.
* Administer medication, immunizations, or blood plasma to animals as prescribed by veterinarians.
* Collect laboratory specimens, such as blood, urine, or feces, for testing.
