- The HR Specialist is responsible for administering and coordinating employee benefit programs--medical, dental, vision, life, supplemental life, short term and long term disability, 403(b), COBRA, Healthcare/Flexible Spending Accounts, Wellness and the Employee Assistance Plans. Administers benefits enrollments, changes, and termination of benefits for all employees of Henry Mayo.
- Benefits Administration - Demonstrates understanding of federal, state, local laws, policy, and plan summaries. Including but not limited to all benefit plans, Rideshare program, claims review, bill pay, benefit and wellness related employee events and auditing. Resolves administrative problems with the carrier representatives.
- Ensures health, welfare and savings plan enrollment applications and contributions elections are accurately processed. Processes benefit changes in coverage due to changes in employee status and eligibility and Life Events. Ensures accuracy and eligibility.
- Primary contact for and liaison with insurance brokers, plan carriers and TPA's. Reviews contracts, claims and facilitates regulatory reporting and audits.
- Maintains knowledge of Healthcare Reform and the Affordable Care Act and ensures compliance. Maintains data and coordinates annual 1094/1095 filing.
- Implements new benefit programs; prepares communication, arranges and conducts employee information presentations and enrollments.
- Audits - Accurately audits all changes made in Kronos for benefits that effect employee deductions.
- Discrepancy Reconciliation - Responsible for communicating with appropriate carriers regarding benefit report discrepancies.
- Deductions Not Taken - Runs report and audits reasons why deductions aren't being taken. Sends bill and collects money leaving an audit trail for reference.
- Billing - Process monthly invoices while meeting billing deadlines in a timely manner.
- Coordination of events: Coordination of Benefits fair, Open Enrollment and other benefit related events for hospital employees.
- On a monthly basis, administers the Rideshare program and annually administer the AQMD Rideshare Survey (work with Ridelinks) and coordinate the Rideshare social event.
- Supplemental Benefit administration - Demonstrates Plan Summary knowledge and processing.
- Presents and is responsible for content updates and/or change benefit information at New Hire Orientation.
- Adds and maintains various discounts/XXXX to Employee Discounts book.
- Reviews and submits payment documentation after completion for signatures and forwards to payroll or accounts payable.
- Responsible for Open Enrollment; specifically, tobacco declaration and wellness incentives.
- Supports, as back up to, LOA Specialist and Employee Health Specialist.
- Performs other job-related duties as assigned.
- Complies with HMNMH's in-service training, attendance, punctuality, uniform and dress code standards.
- A High School Diploma or GED equivalent.
- Associates Degree in Business or related field preferred.
- Bachelor's degree highly desirable.
- Three to five (3-5) years of relevant experience in Human Resources/Benefits department with emphasis on benefits administration required.
- Kronos HRIS preferred.
- Proficiency in MS Office, such as Word, Excel, Teams, Outlook and PowerPoint.
- Strong Data Management experience
- Strong preference for supervisor level experience
- Previous knowledge in administering benefits.
- Solid knowledge of Healthcare Reform and the Affordable Care Act.
- Working knowledge of HR processes working in an HRIS system, recruiting, employee relations, leave management, and benefits, either through education or functional experience.
- Exceptional customer service skills.
- Ability to explain benefit programs to employees clearly and concisely.
- Organizational skills.
- Strategic thinking capability as well as "hands on" implementation experience
