Administrative Assistant

Job Description Job Description Job Title: Business Support Specialist Pay: $60,000 - $65,500 per year Location: Hollywood, FL (Onsite) Employment Type: Permanent About the Role We are seeking a highly organized, proactive, and detail-oriented professional to support senior leadership within the energy sector. This role involves managing day-to-day operational support, attending meetings, capturing key information, and ensuring follow-ups and priorities are executed efficiently. The position also includes creating and maintaining high-quality presentations and visual materials. Key Responsibilities Attend meetings with senior leadership and capture detailed, structured notes Document key takeaways, decisions, and action items Track and manage follow-ups to ensure timely execution Monitor ongoing tasks, priorities, and projects across multiple workstreams Manage calendars, scheduling, and coordination across time zones Handle email communication, including drafting responses and follow-ups Create, edit, and maintain high-quality presentations (investor decks, internal materials, partner content) Support development of visual content or simple animations for presentations Ensure consistency in formatting, branding, and messaging across materials Coordinate with internal teams and external partners as needed Required Qualifications 3+ years of experience in executive or administrative support roles Experience supporting senior leadership (C-suite preferred) Strong organizational and multitasking skills Excellent written and verbal communication skills Ability to prioritize effectively and adapt in a fast-paced environment High attention to detail with strong follow-through Ability to capture and structure information clearly and accurately Proficiency in PowerPoint, Google Slides, or Keynote Strong skills in Excel and Word Experience with Canva and/or Adobe Suite Background in a corporate/business environment Preferred Qualifications Experience in business operations, project management, or similar roles Experience in the energy or related industries Ability to turn rough ideas into polished, professional presentations Ideal Candidate Profile Proactive, detail-oriented, and highly reliable Strong ability to anticipate needs rather than react Comfortable working behind the scenes in a non-client-facing role Professional demeanor with ability to handle sensitive information with discretion Balanced operational and administrative mindset
