Executive Assistant

The Executive Assistant will provide administrative support to and act as a liaison between the EVP, Chamber staff, and external stakeholders. The executive assistant will work closely with the EVP to ensure that our day-to-day operations run smoothly. The successful candidate will be highly organized, detail oriented, and able to work independently in a fast-paced environment.

Responsibilities:

  • Manage the EVP's calendar in an organized and efficient manner, including scheduling meetings and appointments and coordinating domestic and international travel arrangements, including flights, hotel reservations, and ground transportation.
  • Serve as the primary point of contact for internal and external communications on behalf of the EVP.
  • Manage meeting logistics.
  • Greet and escort visitors.
  • Coordinate and prioritize incoming requests, ensuring timely responses and follow-ups.
  • Flag important communications for follow-up.
  • Provide general administrative support, including answering phones, responding to emails, and ordering office supplies.
  • Prepare and organize materials for meetings, presentations, and events, ensuring that the EVP is well prepared.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Precisely and strategically execute a variety of tasks with high attention to detail, organization, and process.
  • Provide high-level, tailored support to the EVP.
  • Partner closely with colleagues to plan and execute meetings and coordinate shared activities.
  • Perform other administrative duties as assigned.

Qualifications:

  • 5+ years of experience in an administrative support role, preferably supporting executive-level staff.
  • Exceptional executive scheduling, organizational, and time-management skills with the ability to oversee multiple priorities in a fast-paced environment.
  • Ability to juggle multiple busy and complex schedules to execute and prioritize scheduling requests.
  • Build and maintain a strong network internally and externally with other executive schedulers to facilitate scheduling.
  • Outstanding verbal and interpersonal skills with grace under pressure and attention to detail and accuracy.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Ability to maintain confidentiality and exercise discretion at all times.

The salary range for this position is $68,000 to $73,000. The actual salary paid for this position will vary based on market data, an applicant's qualifications, relevant degrees, certifications, and other factors. Our full-time employees are eligible for benefits, including health care, vision, dental, retirement, and paid leave.
