Description Position Concept This position works under minimal supervision and provides administrative and technical support to station management and staff. It coordinates, tracks, documents and ensures compliance related to Big Bend Station. Responsibilities include originating forms, maintaining training materials, updating complex spreadsheets, running queries, monitoring budgetary accounts, and communicating monthly. Details Title: Admin Specialist III Company: Tampa Electric Company Location: Florida - Apollo Beach Shift: 8 Hr. X 5 Days Responsibilities Payroll processing: Enter & review supervisory, operating, and office payroll, including time‑card entry for maintenance employees. Perform bi‑weekly payroll closeout, handle paycheck distribution, and respond to payroll special requests. Payroll reporting: Provide reports on productive and non‑productive time, overtime hours, headcount, sick‑time percentages, and other payroll metrics. Review payroll records for errors and completeness, ensure approvals, and release records via the WorkMan system. Plant purchasing, accounting & invoicing: Review purchase requisitions, service entry sheets, purchase orders, and vendor invoices for completeness and accuracy; enter required data into SAP and WorkMan; maintain historical files. Balance contractor time‑card data to invoices and resolve discrepancies with journal entries where needed. Manual accruals & budget variance: At month end review outstanding purchase requisitions and vendor invoice accruals; prepare and submit monthly accruals and journal entries. Special funds & miscellaneous duties: Disperse and track special funds (e.g., hurricane, annual events, safety luncheons). Prepare expense‑account statements for special‑fund close‑out and assist with food orders, room set‑ups, and information distribution. Qualifications Education: High School Diploma (required); Associate’s Degree (preferred). Experience: Minimum 6 years related to these duties; preferred 2 years in a utility environment. Familiarity with SAP, FERC system of accounts, WorkMan, and power‑plant terminology. Knowledge/Skills/Abilities: Proficiency in budget and payroll systems; strong keyboard skills; proficiency in MS Word, Excel, PowerPoint, and other systems. Preferred experience with purchase requisition ordering and Service Entry Sheet processing. Physical Requirements Baseline Medical Examination required. Pre‑employment physical exam may be required for positions with bona fide job‑related physical requirements.
