Operations & Compliance Coordinator

About the Role
A Plus Tree is one of the largest commercial tree care companies on the West Coast, with over 30 crews and operations spanning from Seattle to San Diego. We serve major utilities, multifamily property managers, HOAs, commercial properties, and more, managing everything from routine maintenance to large-scale land management. We’re big enough to handle complex, high-profile work, but still run lean enough that what you do here will matter. This is a company where strong operators get noticed; the work is real, and the team around you care about getting it right.
This means our work comes with real contracts, real compliance requirements, and real consequences when documentation slips.
This role is the connective tissue between our sales team, field operations, executive leadership, and the outside world. You'll own the contract and compliance infrastructure that keeps jobs moving — Certificate of Insurance, vendor portals, business licenses, vehicle registrations, bid submissions, and more. You'll also support our executive team directly.

What You'll Own
Contracts & Client Documentation
- Manage our Client Documentinbox as the central intakepointsfor contracts and supporting documentation
- Run the full contract lifecycle: intake, execution, filing, and record maintenance
- Keep sales and operations current so nothing sits waiting on a document
Compliance Documentation — COIs, W9s, Bonds
- Coordinate certificate of insurance and W9 requests; make sure client requirements are met quickly and accurately
- Support bond and compliance workflows with our insurance and bonding partners
- Own the compliance document library — organized, current, and accessible
Business Licensing & Vehicle Registrations
- Track and manage city andstatebusiness license applications and renewals across multiplejurisdictions
- Coordinate vehicle registration and DMV documentation for our fleet
- Keep every record current andproperly stored— no surprises at renewal time
Sales Operations & Vendor Portals
- Support sales and project coordinators with contract docs, licensing, and client-required materials
- Handle vendor setup, prequalification submissions, and portal registrations
- Organize and upload documentation for bids and RFPs
Executive & Office Support
- Day-to-day support for the executive leadership team: scheduling, travel, expenses, and special projects
- Mail, scanning, routing, and filing
- Keep the office running — and occasionally handle an errand thatdoesn'tfit anywhere else
What We're Looking For
Required:
- 2–4 years in an administrative, operations coordination, or office management role — ideally in construction, property management, utilities, or a similarly compliance-driven industry
- Proficient in Microsoft Office (Outlook, Word, Excel); comfortable learning new software fast
- Detail-obsessed: you notice when a date is wrong, a document is misfiled, or a deadline is three days out
- Strong written communication — yourepresentthe company in client and vendor correspondence
- Full-time, in-person availability at our Roseville office
Preferred:
- Experience with vendor portal submissions or prequalification platforms
- Background supporting senior leadership
- Degree in business, communications, or a related field
