United Utility Supply is recognized as one of the leading not-for-profit material supply organizations serving the rural electric market. UUS is headquartered in Louisville, KY and has five (soon to be six) satellite warehouses in Virginia, Alabama, Pennsylvania, Ohio, Illinois and Indiana (later this year) and is owned by member cooperatives in 20 states. As a full line stocking distributor, UUS supplies a complete line of materials critical to the electric utility industry. Over the last several years, we have shown continued growth. Our organization specializes in the distribution of Transformers, Conductor, Poleline Hardware, Lighting, Underground Accessories, Grounding Equipment, Guying, Insulators, Protective Equipment, Distribution and Transmission Poles, Utility Tools, and Safety Supplies.

The Sales Support Assistant position's primary duties are to provide support for internal/external customers and Sales/Management by processing invoice billings, customer stock order reports, sales agreement reports, warranty claim processing, and sales inbox coordination. This position requires someone with a professional attitude and relevant work experience who is well versed in Excel and an ERP/CRM-type order management system, is highly organized, detail-oriented, and can apply critical thinking and effective communication skills to their responsibilities.

Duties and Responsibilities

• Accurately enters and maintains direct ship order billings. Answers and asks questions to fully meet customer's needs including collaborating with vendors, management, sales support specialist, and area representative(s) regarding customer pricing and quantities.
• Maintain and update weekly customer stock agreement, open order/backorder Excel reports for customer-specific needs. Focus on detail for reporting is highly important.
• Receive, submit, and process warranty claims for water heaters including communication with customers and vendor to obtain and submit appropriate claim information. Coordinates to disperse claim information to appropriate sales support specialist for replacement orders.
• Coordinate the shared sales email inbox including notification tags of sales support responsibility, as well as general upkeep of inbox organization.
• Maintains complete open and closed customer order files including web-based order forms.
• Performs back up or replacement tasks for other employees throughout the organization as directed by management.
• Assists in discrepancy reporting to management and helps investigate and resolve issues.
• Provides assistance with inventory counts as directed by management.
• Performs other duties as assignment by management.

Job Qualification Requirements

• High School Diploma or equivalent,
• Excellent communication skills (both written and oral); with strong attention to detail.
• May need to drive to location on behalf of company, will need a valid driver's license, travel occasional (5%).
• 2 Years of customer service in a materials-based or logistics organization preferred.
• May need to work additional hours as necessary (such as weather emergencies).
• Experience with Microsoft office suites, ERP/CRM-type systems, data entry and ability to use internet-based business-related computer programs
