Job Title Court Administrator Location Municipal Court, City of Farmington Salary Range $25.64 – $39.90 per hour Hours Monday – Friday, 8:00 a.m. – 5:00 p.m. Job Type Regular / Full-Time, Exempt (Pay Grade L) Applications Accepted Until Filled Applications will be received until the position is filled. Job Duties Essential duties are outlined below. Hiring, supervising, evaluating, and disciplining Municipal Court Personnel. Working under the broad policy guidance and direction of the Municipal Judge. Prioritizing, organizing, planning, directing, staffing, budgeting, and controlling the operations of the Municipal Court. Supervising court Personnel, including permanent, temporary, and part‑time staff. Training, supervising, and evaluating the performance of court staff. Preparing and administering the annual court budget. Administering criminal proceedings and docketing. Preparing correspondence and maintaining records. Coordinating court matters with judges, defendants, defense counsel, city prosecutor, police department, jail, alcohol agencies, and other levels of the criminal justice administration system. Supervising and administering the receipting, depositing, and accounting of monies for fines, forfeitures, and other court receipts. Preparing reports for state and local agencies. Overseeing the preparation of court dockets and files. Responding to citizen complaints about court procedures, personnel, and administration. Overseeing the filing of all papers, dockets, index cards, case files, and case‑related correspondence. Preparing subpoenas for witnesses required by the Police Department, ensuring proper processing of subpoenas by direct delivery or appropriate mailing, and performing all necessary data entry. Supervising Failure to Pay, Failure to Comply, and Failure to Appear notices. Preparing and maintaining appropriate calendars; setting up court hearings. Generating Notice of Trial to be sent to defendants, complainants, and attorneys, and notifying officers and the City Attorney’s office of upcoming trial dates. Preparing files for court use; processing timely notices to defendants of arraignments, trials, and hearings. Responding to requests from the Municipal Judge, City Prosecutor, Police Department, and others for assistance and information; processing discovery activity required by the office. Attendance at work is an essential function of this position. Non‑essential Duties Serves as a member of various employee committees, as assigned. Qualifications High school diploma or GED equivalent with coursework in typing and/or general office practices; four (4) years of prior work experience in secretarial, clerical, paralegal, or administrative work, including two years in a court environment; or an equivalent combination of education and experience. Thorough knowledge of judicial system, language, and procedures. Thorough knowledge of legal language and procedures related to municipal court functions. Knowledge of criminal, traffic, and infraction procedures. Considerable knowledge of general office procedures and basic bookkeeping practices. Comprehensive knowledge of records management and filing systems. Ability to maintain accurate records. Knowledge of police department procedures to answer inquiries and follow through with work assignments. Skill and experience in supervising personnel. Ability to operate tools and equipment listed. Ability to effectively communicate with the public. Ability to establish and maintain working relationships with co‑workers, supervisors, other City personnel, and the public. Tools and Equipment Used Personal computer system, including word processing and specialized court software. 10‑key calculator, typewriter, phone, copy and fax machines, microfilm camera and reader, shredder, and cash register.
